Our mission is to deliver exceptional support services that enable our healthcare teams to provide outstanding patient care. We are seeking a detail-oriented, organized, and professional Human Resources Assistant to join our team.

 

Position Summary

The Human Resources Assistant provides comprehensive administrative and HR support throughout the employee lifecycle. This role assists with recruiting, onboarding, employee relations, benefits administration, compliance, HRIS management, payroll support, and various HR initiatives. The ideal candidate is highly organized, maintains strict confidentiality, and thrives in a fast-paced healthcare environment.

 

Essential Duties and Responsibilities

  • Assist with full-cycle recruitment, including posting job openings, screening resumes, scheduling interviews, conducting reference checks, and coordinating the hiring process.
  • Facilitate new hire onboarding, orientation, employment documentation, and employee file maintenance.
  • Support payroll processing by maintaining accurate employee records and ensuring timely submission of payroll-related information through ADP.
  • Assist with employee benefits administration, including enrollments, changes, COBRA, leave administration, and employee inquiries.
  • Generate, analyze, and prepare HR reports using HRIS and Microsoft Office applications.
  • Ensure compliance with federal, state, and local employment laws, company policies, and healthcare regulations.
  • Assist with updating employee handbooks, policies, procedures, and HR documentation.
  • Support employee relations by documenting investigations, complaints, corrective actions, and grievance resolutions while maintaining confidentiality.
  • Process employment verifications, unemployment insurance (EDD/UI) claims, workers' compensation documentation, and 401(k) administration.
  • Assist with annual Workers' Compensation, 401(k), and other compliance audits.
  • Prepare professional correspondence, employee communications, memorandas, and HR-related documentation.
  • Coordinate employee meetings, trainings, recognition programs, company events, and other HR initiatives.
  • Provide administrative support including data entry, filing, record management, high-volume phone support, and email correspondence.
  • Partner with executive leadership, including the COO on HR projects and organizational initiatives.
  • Perform additional HR and administrative duties as assigned.

 

Qualifications

  • Bachelor's degree in Human Resources, Business Administration, or a related field preferred.
  • Minimum 2 years of Human Resources; healthcare experience is preferred.
  • Working knowledge of federal and California employment laws preferred.
  • Experience with HRIS systems, Microsoft Office Suite, and payroll software.
  • Excellent organizational, communication, and interpersonal skills.
  • Ability to handle confidential information with professionalism and discretion.
  • Strong attention to detail with excellent time management and multitasking abilities.
  • Ability to work independently and collaboratively in a fast-paced healthcare environment.

 

Preferred Qualifications

  • Experience in healthcare, medical office, or dialysis operations.
  • SHRM-CP, PHR, or active SHRM membership is a plus.
  • Experience with employee benefits administration and compliance reporting.
  • Spanish Speaking
