About this Role:

The Office of Legal Services (OLS) provides comprehensive legal support and services to DHCS programs and its employees, and counsels and advises the Director and program staff on legal matters affecting DHCS. The OLS Administrative Services Unit provides general administrative services such as oversight of business, personnel, and financial management functions; including the implementation and organization of policy and procedure directives and tracking systems; as well as analytical and clerical activities to OLS.
As part of the Office of Legal Services (OLS), Administrative Services & Legal and Technical Support Section, Administrative Services Unit, the incumbent acts as the OLS Training and Attendance Coordinator and provides a variety of technical and complex clerical support services. As the Attendance Coordinator the incumbent will, among other tasks, audit monthly timesheets; process and track attendance documents; and reconcile leave balances and timesheet corrections in coordination with the Human Resources Division. As the Training Coordinator the incumbent will arrange for meetings, trainings and other activities; route documents for approval; assist with registration activities; and maintain internal tracking systems and workflows.
In this fast paced and dynamic environment, the incumbent will act with a high degree of initiative, independence and responsiveness. Assignments and tasks may be sensitive and/or confidential. The incumbent represents OLS in a professional manner, maintains a high level of discretion, and uses tact and good judgment. The incumbent must have strong time management and organizational skills; and the ability to prioritize multiple assignments and meet deadlines.
Under the general supervision of the Staff Services Manager (SSM) I, t he OT provides a wide range of administrative, clerical, and technical support services to the OLS. The incumbent is responsible for developing, reviewing, tracking, and filing legal and administrative documents; entering and maintaining data in internal databases; and supporting technical operations, telecommunications, facilities coordination, and business services. Additional responsibilities include assisting with the development and maintenance of policies, procedures, and operational manuals; performing timekeeping and attendance tracking; performing division-wide training enrollment and tracking, and delivering high-quality customer service. This includes answering phones, processing incoming and outgoing mail, and responding to inquiries from internal and external stakeholders. The OT plays a key role in ensuring the smooth operation of OLS functions through accuracy, efficiency, and effective communication.
This position is currently eligible for telework up to two days per week and is required to report in person a minimum of three days per week.
