About Us
We are a high-end, female-owned boutique general contracting company specializing in luxury residential remodels and investor projects.
We are in the process of tightening our operations, systems, and project management processes, and are looking for someone who can help bring structure, organization, and consistency to the business.
Role Overview
This is not an administrative role.
We are looking for someone who can help organize, structure, and maintain the operational systems of the company, primarily through Buildertrend and internal processes.
Your role is to make sure:
- Jobs are set up correctly
- Information is complete and up to date
- Systems are followed
- Nothing falls through the cracks
Key Responsibilities
Project Setup & Buildertrend Management
- Set up all new jobs in Buildertrend (contracts, budgets, documents, access)
- Ensure Buildertrend is kept accurate and up to date across all projects
- Track and organize job documentation, plans, and files
Change Orders & Documentation
- Create and track change orders in Buildertrend
- Ensure all change orders are signed and paid before work is completed
- Maintain clean and complete job records
Operational Tracking & Organization
- Track purchase orders, receipts, and job costs
- Maintain visibility into project financials (high-level)
- Ensure all documentation is organized and accessible
Process Enforcement
- Follow up with Project Managers on missing items
- Ensure job logs, schedules, and updates are being completed
- Help maintain consistency across all jobs
Weekly Reporting
- Provide a weekly report including:
- Job status overview
- Missing items / issues
- Items that need attention
What This Role Is NOT
- Not a task-only admin role
- Not reactive, last-minute work
- Not just data entry
This role requires someone who can:

-Create and follow structure
-Hold systems together
Qualifications
- Strong organizational and time management skills
- Experience with construction, remodeling, or working with subcontractors preferred
- Experience with Buildertrend or similar software is a plus
- Detail-oriented with strong follow-through
- Ability to work independently and take ownership
- Strong communication skills

- Buildertrend is accurate and fully up to date
- Jobs are organized and easy to track
- Change orders are handled correctly and on time
- Project Managers are supported and held accountable
- The business runs with more structure and less chaos
Compensation
- Hourly: $25–$30/hour (based on experience and performance)
- Opportunity for growth into a larger operational role based on performance
