Duties
- Greet visitors, clients, and staff with enthusiasm, ensuring a warm and professional first impression
- Answer multi-line phone systems promptly, directing calls accurately and courteously
- Handle data entry, filing, and document proofreading to maintain accurate records
- Support office management by organizing supplies, maintaining cleanliness, and overseeing general administrative tasks
- Assist with bookkeeping tasks using QuickBooks or similar accounting software when needed
- Maintain organization of files, emails, and correspondence to ensure easy retrieval of information
- Support additional administrative functions such as typing reports, managing office emails, and supporting personal assistant duties
Experience
- Proven office experience with a strong background in clerical and administrative roles
- Prior experience as a receptionist in medical or dental offices is highly desirable
- Demonstrated proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
- Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
- Experience in bookkeeping or basic financial record-keeping using QuickBooks or similar software is advantageous
- Excellent typing skills with attention to detail for proofreading and data entry tasks
- Previous personal assistant or office management experience is beneficial for supporting executive needs
