ANNOUNCEMENT OF POSITION VACANCY
SUMMARY: Under the general supervision of the Interim Property Manager, the Accounts Specialist oversees rent collections, financial reporting, and resident account management, while also providing operational leadership in the absence of the Interim Property Manager. This role requires attention to detail, financial acumen, and a strong commitment to customer service and compliance.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
The Accounts Specialist is expected to fulfill the following responsibilities, in addition to other duties that may be assigned:
Financial Management
- Accurately post all payments and income received from applicants, residents, and former residents.
- Process and reconcile daily accounts receivable and ensure timely posting of rent charges, utility bill-backs, and other resident fees.
- Monitor delinquent accounts, issue late notices, communicate with residents and guarantors, and initiate eviction proceedings when necessary.
- Assist in meeting the property's financial goals by supporting revenue generation, expense control, and Net Operating Income (NOI) targets.
- Complete end-of-month financial procedures and reporting.
- Conduct move-out inspections, post final charges, and process security deposit refunds.
- Maintain well-organized and accurate financial records, auditing resident files to ensure policy compliance.
Personnel & Team Leadership
- Maintain regular on-site presence and provide support to on-site team members.
- Assist in hiring, training, coaching, and evaluating property staff using consistent and compliant practices. Ability to adhere to a regular work schedule.
- Provide ongoing staff development and feedback in line with company training benchmarks.
- Foster a team environment focused on performance, accountability, and alignment with company policies and procedures.
Leasing & Resident Services
- Ensure staff implement effective leasing practices, follow up with prospects, and complete accurate lease documentation.
- Conduct tours and leasing appointments as needed to support occupancy goals.
- Address resident inquiries, concerns, and complaints in a timely and professional manner to ensure resident satisfaction and retention.
- Develop and lead resident retention initiatives such as community events, special promotions, and newsletters.
- Support implementation of annual marketing strategies to drive traffic and maintain high occupancy levels.
Administrative & Operational Oversight
- Ensure exceptional customer service by monitoring maintenance request response times and follow-up.
- Conduct routine property inspections to maintain curb appeal, identify repair needs, and uphold property standards.
- Oversee or assist with business operations, including vendor coordination, supply management, and contract oversight.
- Ensure cost-effective use of property resources by obtaining bids and addressing vendor performance concerns.
- In the absence of the Interim Property Manager and/or Interim Assistant Property Manager, assume leadership responsibility for property operations, ensuring compliance with policies, fair housing laws, safety standards, and risk management protocols.
- Work closely with the Associate Director of Operations and Housing Coordinator to ensure continuity of high-quality services.
- Attend all meetings as required.
- Must be able to adhere to a regular work schedule which may include evenings and weekends.
MINIMUM QUALIFICATIONS:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill and/or ability required.
EDUCATION AND/OR EXPERIENCE
- High school diploma or general education degree (GED) required.
- Four years of experience in an accounting or clerical role preferred.
- Experience with Star Rez is highly preferred.
LANGUAGE SKILLS
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of an organization.
MATHEMATICAL SKILLS
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
REASONING ABILITY
Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions and deal with several abstract and concrete variables.
