ACTIVITIES OFFICE
The qualified, Customer Service-focused candidate will assist the Activity Director Assistant in maintaining a friendly, happy, and upbeat workplace, providing residents with their activity needs.
Compensation: $17.00 Hourly
Schedule: Monday to Friday from 7:30 am to 4:00 pm with a 30 minute lunch.
Responsibilities
- Reception:
- Greets residents in a professional, respectful and friendly manner.
- Answers phones, screen calls, takes messages, and relays important requests/concerns.
- Offers assistance when possible to support others in the department.
- Box Office:
- Sells tickets to events/activities using the companys proprietary software.
- Answers resident questions relating to events/activities such as availability, seating, and cost.
- Updates management regarding concerns related to ticket program.
- Researches and reprints tickets and receipts for residents, as needed.
- Informs management of refund/exchange requests and processes subsequent paperwork.
- Events/Activities Support:
- Appears at events/activities to greet participants, take tickets, sell tickets, serve and otherwise assist with the success of the event/activity.
- Assists the activities set-up team as needed to prepare for and take down an event/activity.
- Assists in designing event flyers to be posted on-site and included in the messenger newsletter.
- Creates last-minute notice flyers, ad hoc. Promotes activities by printing and posting flyers for events/activities, and being able to speak to the details of the events/activities.
- Room Reservations:
- Assists residents with reserving rooms for private and group events.
- Assists in the management of room reservations to ensure accurate room availability and to prevent overbooking of rooms.
- Assists in reviewing monthly room reservations to ensure accuracy of the daily schedule in the newsletter.
- Assists residents in picking up and returning tables and chairs loaned for their private events.
- Position duties and work schedule may change according to business needs at any time or as instructed by management.

Skills
- Knowledge with TixPro8 and Computers.
- Cash register experience.
- Ability to operate printers, laminators, and copiers and scanners.
- Knowledge and understanding of Microsoft Office programs, including, but not limited to Publisher, Excel, Word, and Outlook Mail.
- Handle incoming and outgoing calls to the Activity Office.
