Programming Assistant (Performing Arts)
Cain Center for the Arts is a 501(c)(3) organization with the mission of providing exceptional visual arts, performing arts, and social experiences to the Lake Norman Region of North Carolina. Founded in 2016, the organization operates two arts facilities in downtown Cornelius, and provides programs in arts education, performing arts, and community impact. It is funded through ticket sales, class and education tuition, philanthropic gifts, and local and state government grants.
Position Summary
The Programming Assistant supports the Director of Performing Arts in the planning, coordination, and execution of concerts, shows, and special events. This position plays a key role in managing artist bookings, preparing offers and contracts, and assisting with financial settlements. The ideal candidate is highly organized, detail-oriented, and passionate about live performance and arts programming.
Key Responsibilities
Booking & Artist Coordination
- Assist with researching and identifying artists, agents, and touring acts
- Coordinate artist availability, performance logistics, and scheduling
- Maintain booking calendars and artist records
Offers, Contracts & Agreements
- Draft and track artist offers under the direction of the Director
- Assist in preparing, reviewing, and processing performance contracts
- Ensure all agreements are properly executed and documented
Event & Show Support
- Support planning and administrative logistics for concerts and events
- Coordinate communication between artists, agents, and internal teams
- Assist with production needs, itineraries, and artist hospitality
Financial & Settlement Support
- Help prepare event settlements, including reconciling expenses and revenues
- Track payments, invoices, and contractual obligations
- Maintain accurate financial documentation for each performance
Administrative & Operational Support
- Organize and maintain digital files, contracts, and booking materials
- Assist with reporting, data entry, and database management
- Provide general administrative support to the Performing Arts department
Qualifications
- Associate or Bachelor’s degree in Arts Administration, Music, Business, or related field (or equivalent experience)
- 1–3 years of administrative or arts-related experience preferred
- Strong organizational skills and attention to detail
- Excellent written and verbal communication skills
- Ability to manage multiple projects and deadlines simultaneously
- Proficiency with Microsoft Office (especially Excel).
- Interest or experience in performing arts, live events, or entertainment industry
Preferred Qualifications
- Experience working with artist contracts or booking processes
- Familiarity with event budgeting and financial tracking
- Knowledge of performing arts production or venue operations
Work Environment
- Fast-paced, collaborative arts environment
- Requires evening or weekend work depending on event schedule
FLSA STATUS/CLASSIFICATION:
· Part-time and non-exempt in status.
· Compensation: $18-24/hour
