JOB TITLE: Director of Operations
REPORTS TO: President

JOB DESCRIPTION:
The Director of Operations is responsible for managing, driving, and overseeing all aspects of the operation, providing strategic and operational leadership, while also supervising functional managers (Warehouse/Logistics, Production, Roasting, Office) with a directed effort towards building a strong team of professionals. This person will manage the day-to-day operations of a coffee roasting facility, involving the shipping and receiving of inventory, equipment, coffee, and coffee-related materials. The job will also include managing supply chain and inventory costs, and evaluating/developing operational systems to optimize the overall efficiency for the warehouse and roasting operation. You must be an excellent communicator and analyzer, capable of effective collaboration and delegation. This person will contribute to the big picture by ensuring daily operations run smoothly and as efficiently as possible.

KEY RESPONSIBILITIES AND EXPECTATIONS:
Operational Management:
  • As part of the Senior Leadership Team, work to create and execute strategic planning for the business.
  • Monitor and ensure that safety and standard protocols are followed for all warehouse activities; establish systems and process, as well as key performance indicators.
  • Define, implement and revise operational policies and guidelines for the organization.
  • Establish quantitative and qualitative metrics, guidelines, and standards by which the company's efficiency and effectiveness can be evaluated; identify opportunities for improvement.
  • Manage supply chain relationships to optimize costs and efficiencies.
  • Manage internal controls through implementation of company policies, standards, and procedures in warehouse and distribution operations in order to minimize risk of both lost and reduced service levels.
  • Ensure that all safety norms and food safety protocols are observed by all personnel on the floor and contribute to maintaining a Zero accident rate, an A rating by LADPH in the facility.
  • Work toward achieving HAACP and maintaining FDA food processing certifications.
  • Communicate and explain new directives, policies, or procedures to managers; for major changes, meet with entire operations staff to explain changes, answer questions, and maintain morale.
  • Manage vendor relationships and hold them accountable.
  • Collaborate and communicate with other business functions, e.g., Retail, Marketing, Sales, Tech and Online, to execute programs and initiatives.
  • Manage and oversee Tech department, with a focus on efficiency and growth.
Customer Service and Employee Management:
  • Set a positive example for the team through leading by example, managing with integrity/honesty and promoting the company's culture, values, and mission.
  • Project a positive image of the organization to employees, customers, industry, and community.
  • Display a customer-centric attitude by holding staff accountable for delivering quality products and customer service.
  • Improve customer service and satisfaction through policy and procedural changes.
  • Monitor and manage staffing levels to ensure staff development and talent acquisition to achieve and maintain successful operations.
  • Provide coaching, motivation, and direction to create a high-performance team.
  • Work with HR to ensure employee satisfaction is high (incentive programs) and productivity is continually increasing.
  • Participate in the hiring and training of departmental managers, including creating job descriptions and overseeing employee training programs.
  • Conduct performance evaluations that are timely and constructive.
  • Handle discipline and termination of employees as needed and in accordance with company policy.
Financial Management:
  • Analyze financial data and work to maximize revenue and reduce costs.
  • Understand and manage the P&L, and identify cost-control methods and opportunities to generate revenue.
  • Manage both top line revenue growth and bottom-line results for effectiveness.
  • Actively provide suggestions and implement cost improvements.
  • Responsible for keeping COGS and labor costs within budgeted parameters.
Business Management:
  • Through functional expertise, create status reports, business reviews, and inventory management reports.
  • Set “stretch” and achievable results-based targets (daily, quarterly and annually) and objectives and manage the team to achieve them.
  • Able to quickly analyze a situation, prioritize, and take appropriate action.
  • Develop systems to manage for growth.
  • Communicate regularly, clearly, and accurately to ensure effective operations.

QUALIFICATIONS:
  • Bachelor’s degree preferred; Advanced degree a plus.
  • Experienced negotiation skills for supply chain management.
  • Superior verbal and written communication and interpersonal skills.
  • Meticulous organizational skills and attention to detail.
  • Excellent analytical, decision-making, and problem-solving skills.
  • Ability to multi-task, prioritize and manage several concurrent tasks.
  • Proficient computer knowledge and experience, especially with Word, Excel, and Powerpoint, NetSuite experience is a plus.
  • Energetic and enthusiastic service-oriented professional.
  • Demonstrated ability to lead people effectively.
  • Focus on detail, quality, and accuracy.
  • Ability to take direction.
