About the Role
The Patient Care Coordinator (PCC) manages the full lifecycle of patient orders, from intake and qualification to scheduling, fitting, and equipment delivery. This in-office role combines patient coordination, hands-on equipment setup, and basic warehouse operations to ensure patients receive their prescribed DME safely and on time.
The PCC communicates clearly with patients and clinical partners, measures and fits patients with their equipment, maintains accurate inventory, and works closely with Patient Care, Billing, Account Managers, and Field Service teams to support smooth operations and timely insurance billing.
Our Big Island team is small but mighty, and this role is ideal for someone reliable, adaptable, and comfortable balancing administrative work, patient interaction, and technical tasks. No two days are the same - strong teamwork and a positive attitude are essential.
What You’ll Do
- Deliver a high-quality, compassionate patient experience through clear communication, hands-on fittings, and timely follow-up.
- Process incoming orders in Brightree, verify insurance coverage, and obtain required documentation to ensure clean, billable claims.
- Manage incoming referrals and patient inquiries, routing them appropriately and maintaining accurate records throughout the order lifecycle.
- Maintain an organized, compliant warehouse by receiving, inspecting, stocking, and preparing equipment for delivery, including routine audits, cleaning, and safety checks.
- Perform accurate electronic inventory transfers and support logistics workflows to ensure proper inventory levels and timely patient equipment fulfillment.
- Collaborate with internal Sales team, Field Service Reps, Billing staff, Patient Care peers, and external customers to resolve escalations, gather missing information, and strengthen provider relationships.
- Support rare local facility deliveries as needed, completing them efficiently and with reliable judgment and professionalism.
What You’ll Bring
- High school diploma or equivalent required.
- Experience in DME, healthcare delivery, or logistics preferred.
- Valid driver’s license and clean driving record.
- Ability to lift up to 30 lbs and safely handle large medical equipment.
- Proficiency with tablets, mobile apps, and digital documentation systems, including regular use of computers for CRMs, EHRs, basic spreadsheets, and shared drives.
- Strong communication, extreme reliability, and attention to detail.
