SUMMARY

The PBX Operator / Front Desk Receptionist serves as the primary point of contact for the district, managing a multi-line phone system, greeting and directing visitors, and ensuring efficient front office operations. This role also supports daily administrative functions, including handling deliveries, providing information, and maintaining a professional and secure reception environment.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

Essential duties and responsibilities include the following. Other duties may be assigned.

  • Operate and manage a multi-line PBX telephone system, accurately routing incoming calls to appropriate departments and personnel
  • Greet and assist all visitors in a professional and courteous manner; determine needs and direct guests to appropriate locations
  • Monitor front desk area to ensure security protocols are followed, including visitor sign-in procedures
  • Receive, log, and distribute packages and deliveries from external vendors and courier services
  • Provide general information regarding district offices, departments, and personnel
  • Maintain a clean, organized, and professional reception area
  • Assist with internal communications, including relaying urgent messages in a timely manner
  • Support clerical functions such as data entry, filing, and document distribution as needed
  • Coordinate with departments to ensure smooth daily operations and accurate message delivery
  • Handle sensitive information with a high degree of confidentiality and professionalism
  • Respond to inquiries from staff, parents, and community members in a timely and helpful manner

EDUCATION and/or EXPERIENCE

High School Diploma or GED; previous experience in a receptionist, front desk, or PBX operator role preferred and experience in a school district or public sector environment is a plus.

 

KNOWLEDGE, ABILITY AND LANGUAGE SKILLS

Strong customer service and interpersonal communication skills. Excellent organizational and multitasking abilities. Professional demeanor and appearance. Ability to remain calm and courteous in high-volume or stressful situations and possess strong attention to detail and accuracy.
