Project and Systems Coordinator

CAD Homes LLC is a Moses Lake-based residential construction and development company. We develop and build homes across the Columbia Basin with active projects in Moses Lake, Royal City, Mattawa, George, Othello, Kittitas, and the Tri-cites area.
The Project Coordinator Assistant will support and learn from our experienced Project Coordinator to help manage production and custom residential homes, H2A housing, and other non-residential construction projects. This position offers significant growth potential and the opportunity to take on advanced roles and responsibilities within the company.
Key Responsibilities
- Assist in the creation, updating, and management of project estimates and cost tracking
- Perform data entry and interpretation to support decision-making and operational reporting
- Handle timeline tracking and assist with milestone management
- Coordinate and prepare building applications and submittals
- Manage procurement tasks, including bidding, purchasing, and RFQs
- Maintain software systems used for scheduling, budgeting, and communications (training provided)
- Maintain accurate and up-to-date digital documentation
- Facilitate daily communication with vendors, subcontractors, customers, and the internal CAD team
- Create, compile, and review cost breakdowns, proposals, and materials quotes
- Support change order, RFI, and submittal processes; ensure distribution to all project team members
Minimum Requirements
- Self-motivated, organized, and detail-oriented
- Strong computer skills, including:
- Proficient in Microsoft Excel and Office Suite
- Comfortable using and managing construction software and applications
- Able to respond promptly to email communications
- Capable of managing multiple active projects while maintaining focus on priorities and deadlines
- Excellent verbal and written communication skills for working with clients, team members, and partners
Additional Responsibilities May Include
- High volume of daily phone calls and email correspondence for bids, pricing, scheduling, and follow-ups
- Coordinate with CAD team to manage project budgets and prevent cost overruns
- Monitor and help mitigate financial risks on projects
- Support the submission and tracking of permits and compliance documents
- Gain deep understanding of each project’s scope of work and requirements
- Maintain accurate records and ensure estimates and financial updates are reflected in project management systems
- Actively contribute to the coordination of 20 active projects simultaneously
