What are the responsibilities and job description for the Inventory Purchasing Coordinator position at Cactus Jack's Auto?
Dealership Inventory Specialist
Position Summary
We are seeking a detail-oriented, high-energy Inventory Specialist to join our growing team. In this role, you will manage the complete lifecycle of our vehicle inventory—from the moment a car is purchased to the moment it is ready for sale. You will serve as the critical link between our buying, sales, service, and reconditioning teams to ensure our vehicle lineup is organized, accurate, and front-line ready.
Key Responsibilities
- Inventory Intake & Logging: Receive all incoming vehicles (trades, auction purchases, and other deliveries) and accurately enter them into our dealership inventory system (AMS).
- Logistics Coordination: Monitor vehicles moving through the purchasing process. Manage the security of gate releases, dispatching of shipments to vendors, follow up on deliveries and ensure they arrive at the proper facility in a timely manner.
- Asset Management and Support: Assist in coordinating cars locally and at auction for both selling and purchasing. Create organized lists prior to sales, confirm inventory logged properly across multiple locations, inspect cars prior to sale, handle post sale needs for both buyers and sales. Communicate with managers, vendors and other personnel to efficiently manage inventory and make corrections.
- Quality Control: Audit inventory logs across multiple channels to regularly resolve discrepancies and locate vehicles. Identify and correct any key components.
Qualifications & Requirements
- Valid Driver’s License: A valid driver’s license is required.
- Physical Stamina: Ability to work outdoors in various weather conditions and spend extended periods walking or standing. Time may be spent outside at car auctions for a few hours weekly.
- Tech-Savviness: General knowledge of Microsoft and other organizational programs. Ability to easily learn new systems is vital.
- Communication: Strong communication skills are needed to collaborate effectively with vendors, auction staff and other personnel.
- Organizational Skills: A sharp eye for detail, strong time-management skills, and the ability to multitask in a fast-paced environment.
You will be a good fit for this role if you:
- Thrive in motion: You love a dynamic workday that mixes office tech work with active, outdoor tasks at vehicle lots and auctions.
- Are a master organizer: You can easily track multiple vehicles moving through various stages of buying, servicing, and shipping without losing focus.
- Possess a hawk-eye for detail: You catch missing data or misplaced files quickly when auditing logs across different inventory systems.
- Communicate with confidence: You can build quick, professional relationships with vendors, auction staff, and internal managers to get things done.
- Learn software naturally: You are comfortable with Microsoft programs and pick up new dealership management systems with ease.
- Solve puzzles independently: You enjoy investigating data discrepancies to find out exactly where a vehicle or a title error is located.
