Job Description:
The Opportunity:
The Project Logistics Coordinator is a crucial role responsible for the seamless coordination and execution of logistics across multiple projects. This position ensures that all logistical aspects, from meetings to test events, are efficiently planned and executed. The ideal candidate will have strong organizational skills, excellent communication abilities, and a proactive approach to problem-solving.
Responsibilities:
Project Coordination:
- Collaborate with project managers and team leads to understand project requirements and timelines.
- Develop and maintain detailed project schedules, ensuring all logistical elements are accounted for.
- Coordinate cross-functional team meetings, ensuring all stakeholders are informed and engaged.
Logistical Planning:
- Plan and organize logistics for test events, including venue selection, equipment setup, transportation, and accommodation.
- Liaise with vendors, suppliers, and service providers to secure necessary resources and ensure timely delivery.
- Manage inventory of project-related materials and equipment, ensuring availability when needed, including government and supplier owned property.

Meeting Management:
- Schedule and organize project meetings, ensuring all necessary participants are invited and informed.
- Prepare and distribute meeting agendas, minutes, and action items to ensure clear communication and follow-up.
- Facilitate effective meeting dynamics, ensuring productive discussions and outcomes.
Documentation and Reporting:
- Maintain accurate and up-to-date project documentation, including logistical plans, schedules, and reports.
- Prepare regular status updates and reports for project stakeholders, highlighting progress and any logistical challenges.
- Prepare documentation to ensure compliance with contractual logistics requirements
- Ensure all project-related documentation is stored and accessible in accordance with company policies.
Stakeholder Communication:
- Act as a liaison between project teams, stakeholders, and external partners to ensure smooth communication and coordination.
- Address and resolve any logistical issues or concerns raised by project participants in a timely manner.
- Provide regular updates to project managers on the status of logistical arrangements.
Continuous Improvement:
- Identify opportunities for process improvement within project logistics and propose actionable solutions.
- Stay informed about industry best practices and trends in project logistics, applying relevant insights to enhance project delivery.
- Participate in post-project reviews to evaluate logistical performance and contribute to lessons learned.
Qualifications:
Required:
- Education: Bachelor’s degree in Logistics, Supply Chain Management, Business Administration, or a related field.
- Experience: Minimum of 2 years of experience in project logistics or a similar role.
- Skills:
- Strong organizational and planning skills with attention to detail.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and project management tools.
- Ability to multitask and prioritize tasks in a fast-paced environment.
- Problem-solving mindset with a proactive approach to addressing challenges.
Desired:
- Certification in Project Management (PMP, Prince2, CAPM) or Logistics (CLM, CSCP).
- Experience working in a multi-project environment.
- Knowledge of event management and coordination.

The proposed salary range for this position is:
