Job Summary:
We are seeking a motivated and detail-oriented Service Advisor Assistant to support our Service Advisors and help deliver a best-in-class experience to our customers. This role focuses on behind-the-scenes administrative and communication tasks, allowing the Service Advisor to stay focused on customer interaction and sales performance.
Responsibilities:
- Assist assigned Service Advisor with daily tasks to improve workflow and customer satisfaction
- Communicate with customers via phone, text, and email to provide updates on vehicle status, repair recommendations, and completion timelines
- Handle repair order processing and billing with a focus on speed and accuracy
- Submit and follow up on warranty claims with extended warranty providers
- Coordinate parts ordering and delivery timing with the Parts Department
- Support appointment scheduling, shuttle rides, and loaner vehicle coordination
- Prepare daily paperwork and service files to ensure the Advisor is ready for customer contact
- Maintain up-to-date notes and documentation in the DMS
- Provide additional administrative support as needed to ensure service operations run efficiently
- High school diploma or equivalent (college or tech school experience is a plus)
- Prior experience in a dealership service department or customer service environment preferred
- Strong communication skills, both verbal and written
- Organized, detail-focused, and able to manage multiple priorities under pressure
- Familiarity with dealership management systems (Reynolds & Reynolds Ignite experience is a plus)
- Professional, team-oriented, and customer-focused attitude
