Responsibilities

  • Serve as the first point of contact at the front desk, greeting visitors and clients with professionalism and warmth
  • Handle scheduling and calendar management for project teams and executives using Google Workspace or Microsoft Office tools
  • Perform data entry, filing, and document proofreading to ensure accuracy and organization of project files and administrative records
  • Utilize QuickBooks for basic bookkeeping tasks such as invoicing, expense tracking, and financial record keeping
  • Support office management tasks including supply inventory, mail handling, and maintaining a clean, organized workspace
  • Provide customer support by responding to inquiries promptly, assisting with appointment setting, and ensuring client satisfaction through effective communication

Qualifications

  • Proven office experience with strong clerical skills in an administrative or secretarial role within the remodeling or construction industry preferred
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Experience with QuickBooks or similar accounting software for bookkeeping tasks
  • Excellent organizational skills with keen attention to detail and ability to prioritize tasks effectively
  • Strong typing skills with high accuracy; familiarity with data entry and proofreading processes
  • Bilingual (Spanish & English) abilities is a requirement to assist diverse client needs and subcontractors.
  • Exceptional phone etiquette skills along with experience managing multi-line phone systems
  • Demonstrated ability to handle office management duties efficiently while maintaining professionalism under pressure
