Health Information Management Supervisor

Position Summary

The Health Information Management (HIM) Supervisor oversees the daily operations of the HIM departments at Cabell Huntington Hospital and St. Mary’s Medical Center. This position supervises HIM clerks and technicians and helps ensure patient information is processed accurately, securely maintained, and disclosed in accordance with applicable laws, regulations, and organizational policies.

The HIM Supervisor works closely with the Health Information Management Manager and other departments to support consistent workflows, staff development, quality, regulatory compliance, and effective use of HIM systems and technology.

Key Responsibilities

• Supervise, schedule, train, and evaluate HIM clerks and technicians.
• Oversee daily preparation, scanning, quality review, analysis, and archiving of patient records.
• Monitor the authorized release of protected health information (PHI) and work with Release of Information (ROI) vendors as needed.
• Monitor staff productivity and departmental performance metrics.
• Support standardized HIM workflows, policies, procedures, and operational practices across the organization.
• Identify workflow variations and work with HIM leadership to implement improvements and system-wide processes.
• Monitor staff timekeeping, attendance, and PTO.
• Address employee performance, conduct, attendance, scheduling, and other personnel matters in collaboration with the HIM Manager.
• Conduct performance evaluations and provide feedback and recommendations to the HIM Manager.
• Develop and coordinate training and continuing education for assigned staff.
• Coordinate the implementation, testing, configuration, and updates of HIM-related computer applications in collaboration with HIS system analysts.
• Troubleshoot or coordinate resolution of hardware and software issues involving HIM systems and equipment.
• Monitor departmental KPIs and develop corrective action plans when performance standards are not met.
• Conduct routine audits to support HIM quality, compliance, and regulatory requirements.
• Maintain ongoing survey readiness for regulatory, accreditation, privacy, and compliance reviews.
• Collaborate with Registration, Clinical, Information Technology, Revenue Cycle, and other departments to resolve health information integrity concerns.
• Assist with monitoring vendor performance and escalate concerns as needed.
• Participate in electronic health record optimization initiatives affecting HIM workflows.
• Coordinate record storage activities as needed.
• Participate in departmental and organizational committees related to HIM.
• Stay current with legal, regulatory, and technical developments in the Health Information Management field.
• Follow all applicable Marshall Health Network policies, procedures, standards, and regulations.
• Perform other duties as assigned.

Qualifications:

Minimum Qualifications

• Associate’s degree in Health Information Management or five years of experience in Health Information Management or a related field.
• One year or more of supervisory experience preferred.
• RHIT or RHIA certification preferred, but not required.

• Knowledge of health information management practices, privacy requirements, and regulatory standards.

Physical Requirements

This position primarily involves sedentary work and extended periods of sitting and computer use. Frequent use of hands and fingers is required for keyboarding and operating office equipment. The position may occasionally require walking, standing, bending, reaching, and lifting, carrying, pushing, or pulling objects weighing up to 30 pounds.

Reporting Relationship

Reports to the Health Information Management Manager and provides direct supervision to Medical Record Clerks and HIM Technicians.
