Scope of Responsibilities include:

Property Maintenance

  • Coordinating, scheduling and supervising vendor services (landscaping, pool, elevator, etc.)
  • Perform regular, detailed site inspections and make recommendations to BOD for property improvements
  • Manage all common area property maintenance and repairs
  • Manage onsite maintenance and cleaning personnel work (currently onsite - two maintenance personnel)
  • Manage Key Card Process
  • Manage SIRS work when needed and ensure compliance

Financial Management

  • Prepare annual budgets
  • Manage Operating Funds
  • Liaison with association Accounting Firm o Review monthly and annual financial reports
  • Manage all association invoices, reviewing for accuracy before payment
  • Collect Association Fees and other monies and debts. Prepare notice of delinquency when appropriate
  • Manage annual renewal of Insurance policies

Administrative and Governance

  • Prepare agendas, board packages and conduct board/member meetings
  • Maintain all association records, including ownership portal
  • Ensure adherence to Florida Statutes and Association Community Bylaws
  • Coordinate annual corporate filings and financial reporting under FS 718
  • Provide regular updates to BOD and Community on accomplishments and Work in Process.

Enforcement and Communication

  • Enforce Community Rules
  • Handle owner disputes
  • Act as the liaison between BOD and Residents

Operational Compliance

  • Handle estoppel certificates
  • Manage and Negotiate vendor bids and vendor contracts
  • Manage onsite contractors (used by owners) for compliance with Association rules and regulations

Vendor Management

  • Solicit multiple vendor quotes for each task, including verifying vendor licensing and insurance
  • Develop and Maintain Project Budget and Schedule, including a listing of all tasks authorized by the BOD
  • Directly oversee vendor activities, monitoring work schedules, performance and completion. Ensure completed work is according to contract specifications.
  • Review and approve any invoice before payment
  • Provide regular, written status reports to the BOD

Qualifications and Personal Characteristics

  • Active Florida CAM License (LCAM) required.
  • Minimum 5 years of experience in condominium or HOA management.
  • Strong working knowledge of Florida Condo Laws
  • Excellent communication, interpersonal, and leadership skills.
  • Proficiency in management software (currently on Vantaca).
  • Willing to manage property emergencies outside of normal business hours

Skills

  • Proven experience with property management systems such as Yardi and OneSite; familiarity with CMMS (Computerized Maintenance Management System).
  • Strong knowledge of landlord-tenant law, Fair Housing regulations, Section 8 programs, and real estate administrative procedures.
  • Excellent customer service skills with professional phone etiquette and the ability to build positive relationships with residents and vendors.
  • Effective negotiation skills for lease agreements, vendor contracts, and conflict resolution scenarios.
  • Office experience involving data entry, filing, contract management, and administrative support tasks.
  • Ability to manage multiple priorities efficiently while maintaining attention to detail in a fast-paced environment.
  • Facilities management expertise including property maintenance oversight and basic knowledge of building systems (e.g., HVAC, plumbing).
