Position Title: On Site Manager
Classification: Non-Exempt, able to live on site
Department: Camping & Retreat Ministries – Waller Center
Immediate Supervisor: Associate Director of Intergenerational Ministries
POSITION OVERVIEW
The primary responsibility of the Waller Center Site Manager is to manage the property and facilitate the use of the property for various groups or guests. The duties of the site manager will include but are not limited to items listed under Key Responsibilities. This position is also responsible for administrative work which includes but is not limited to the items mentioned in sections for Hospitality and Administration, Marketing, and Communications. Hospitality and guest service is a priority in all activities associated with Waller Center.
KEY RESPONSIBILITIES:
Site Management
o Monitor cleanliness and safety of the site, keeping all areas clean and clear of obstructions or hazards.
o Responsible for recycling efforts on campus.
o Manage janitorial service, both internally and through contract services.
o Maintain readiness of each meeting room prior to occupancy: provide tables, chairs, and accessories (easels, projectors, etc.) as requested.
o Perform daily repair and maintenance as needed.
o Maintain a prioritized list of needed site improvements and repairs. Work with the Site Committee to identify and prioritize needs. Notify the Site Committee and supervisor of needed maintenance or repair that is beyond the ability to perform or requires an expenditure. Obtain quotes and manage contractors.
o Check stock of maintenance and cleaning supplies and replenish as needed within budget or notify the Site Committee and supervisor of needs beyond budget.
o Keep tools and equipment in good condition and orderly array.
o Perform basic plumbing and maintenance as needed.
Hospitality & Administration
o Make and calendar reservations for both overnight and day use groups.
o Serve as guest liaison. Be available (at the minimum by cell phone) for groups during their stay.
o Assist guests when needed to connect with potential local mission sites and programs in the area.
o Perform guest orientation upon their arrival and provide access as required to the facility.
o Perform guest check-out upon their departure
o Manage and maintain accurate required paperwork. (Contract, Terms and Conditions, instructions, invoices, etc.)
o Appropriately handle all financial paperwork.
o Complete accident or incident reports when necessary and appropriately handle emergency situations.
o Attend Board of Camping & Retreat Ministries Meetings as needed.
Marketing
o Follow up on inquiries and generate facility-use reports on this activity.
o Manage/Update social media.
o Work with local UM pastors to support and encourage their use of the Waller Center for their programs.
o Follow up with guests to obtain evaluations and to encourage future bookings.
o
Community Relations
o Provide a connection to the local neighborhood and neighborhood groups for the Waller Center to be a resource for the neighborhood and to address any concerns with the operation of the Waller Center.
QUALIFICATIONS, KNOWLEDGE, ABILITIES AND SKILLS
The individual must possess the following knowledge, skills and abilities, and be able to explain and demonstrate that they can perform the essential functions of the job, with or without reasonable accommodation.
- High school diploma minimal
- 2 years of related experience
- Basic English verbal and written communication skills
- A basic knowledge of building maintenance
- Ability to manage time, schedule projects
- Basic computer and software skills.
- Schedule flexibility a plus
- Familiarity with The United Methodist Church is a plus.

PHYSICAL REQUIREMENTS

- Able to easily negotiate stairs/ramps
- Physical ability to lift/handle 50 pounds
- Able to bend or stand or climb on step ladders as necessary and reach with hands and arms
- While performing the duties of this job, the employee is regularly required to talk and hear
HOUSING & BENEFITS
- Provided residence with private bathroom and kitchenette, kitchen use, electricity, water, Wi-Fi, and garbage for no more than two residents. One parking space is available. Valued at approximately $2,500 per month. (Pets must be pre-approved.) (Evidence of proper insurance and conditions requirements must be in place.)
- Approval of up to two weeks of educational leave.
- Provided annual MUNI pass so the host can help user groups maneuver public transportation.
