Position Summary

The Office Administrator serves as the administrative hub of our business, helping support our sales, design, production, accounting, and leadership teams. This person is responsible for maintaining an organized office, managing administrative processes, supporting client communications, and ensuring the day-to-day operations of the company run efficiently.

This role is ideal for someone who enjoys variety in their workday, takes pride in organization, and thrives in a team-oriented environment.  This position is an on-site position. 


Administrative & Office Support

Responsibilities Include:

  • Answer incoming phone calls and route inquiries appropriately
  • Greet clients, trade partners, and visitors
  • Manage incoming and outgoing mail
  • Maintain office equipment and coordinate service as needed
  • Order and maintain office supplies
  • Assist GM with calendar and emails
  • Keep the office and design center organized, clean, and professional
  • Prepare meeting rooms for client and team meetings
  • Assist with travel arrangements and scheduling when needed
  • Manage document filing both electronically and physically
  • Maintain client and project records within JobTread and company systems
  • Process leadership correspondence, administrative tasks, and follow-up items
  • Stay informed on DreamMaker franchise updates and internal communications
  • Coordinate background checks when required
  • Assist with company insurance and compliance documentation


Client Experience & Sales Support

Responsibilities Include:

  • Answer inquiries from prospective clients
  • Gather lead information and enter details into CRM systems
  • Assemble prospect information packets
  • Prepare new client welcome packets
  • Support the sales and design teams with meeting preparation
  • Coordinate follow-up communications with clients
  • Assist with client scheduling and appointment coordination


Production & Operations Support

Responsibilities Include:

  • Receive and process client service requests
  • Assist with communication between office and field teams
  • Set up new vendors and trade partners within company systems
  • Maintain project binders and documentation
  • Submit for and obtain project permits
  • Provide administrative support to project managers and production staff
  • Assist with project setup and closeout documentation


Purchasing & Vendor Coordination

Responsibilities Include:

  • Assist with ordering project materials and supplies
  • Receive and verify deliveries
  • Track purchase orders and vendor information
  • Coordinate product sample organization and inventory
  • Support vendor communication and documentation


Accounting & Administrative Support

Responsibilities Include:

  • Assist with accounts payable and accounts receivable data entry
  • Create purchase orders for projects
  • Support invoicing and billing processes
  • Maintain accurate project and vendor documentation
  • Prepare reports and administrative documentation as requested
  • Help monitor outstanding client balances and follow-up communications


 

Qualifications

Required

  • High School Diploma or GED
  • Minimum of 3 years of administrative, office support, customer service, or coordinator experience – Construction office experience
  • Strong computer skills including Microsoft Office
  • Professional communication skills, both verbal and written
  • Excellent organizational and time-management abilities
  • Ability to manage multiple priorities simultaneously
  • Strong attention to detail
  • Reliable transportation
  • Positive attitude and willingness to support the team

Preferred

  • Associate's or Bachelor's Degree
  • Experience in a construction, remodeling, home services, or design-build environment
  • Experience with JobTread, QuickBooks, or similar software platforms
  • Experience supporting sales, production, and HR functions
