C&K Engineering, LLC is a Shelton, CT-based civil engineering firm providing land development, site civil engineering, and environmental permitting services across Connecticut. We are seeking a part-time Office Administrator to organize and coordinate our administrative operations as our firm grows. The ideal candidate is a hard-working professional who can handle a variety of office support tasks and help keep day-to-day operations running smoothly, with strong attention to detail and discretion. You will manage administrative tasks, coordinate schedules, handle correspondence, and support various office functions with enthusiasm and professionalism. Responsibilities
- Manage front desk operations, greeting visitors and directing phone calls using multi-line phone systems with excellent phone etiquette.
- Oversee calendar management and scheduling for meetings, appointments, and events using Microsoft Office.
- Assist with invoicing, proposals, and client/vendor communications.
- Support bookkeeping tasks in QuickBooks, including processing deposits and matching payments to invoices
- Handle clerical duties including filing, proofreading documents, and preparing reports to ensure all office documentation is precise and up-to-date.
- Provide exceptional customer support by responding promptly to client inquiries via phone or email, ensuring positive communication at all times.
- Coordinate office supplies procurement, monitor inventory levels, and manage office equipment maintenance to keep operations seamless.
- Support administrative projects such as organizing files, managing client communication, and assisting with personal assistant tasks when needed.
- Assist with maintaining compliance records (labor law postings, licensing, insurance certificates).
Qualifications
- Proven experience as an office assistant, office administrator, or similar role (engineering/construction/AEC industry experience a plus, not required).
- Proficiency with Microsoft Office (Word, Excel, Outlook).
- Familiarity with QuickBooks Online.
- Comfortable with standard office equipment (printers, scanners).
- Strong organizational and time-management skills.
- Analytical and problem-solving ability.
- Excellent written and verbal communication skills.
- Ability to handle confidential client and financial information with discretion.
