We are currently seeking a Service and Office Administrator in our Wichita office.
Role Overview
Administrator will be responsible for receiving and scheduling all service calls and system inspections with our customers and our service resources. Responsible for issuing and managing open work orders, follow up work, all service correspondence between the company and the customer and all field paperwork. Also responsible for answering calls and attending to office guests.
As a Service and Office Administrator, you will:
- Assign team members to projects.
- Schedule personnel, materials, subcontractors and equipment based on project needs, skill set and availability.
- Input project location into system.
- Issue general work order documents, dispatch technicians, and notify customers.
- Interact and communicate with Service Managers to assign/dispatch Technicians
- Assist Service Manager in managing maintenance contracts.
- Handles inside over the counter sales volume
- Make routine phone calls from list of companies to help develop contact lists for sales team.
- Responsible for distribution and handling of purchase orders requested by technicians.
- Handle shop management, such as repair tracking-in house; repair tracking-sent in for; tracking spare equipment; tracking of tools and stock items; cleanliness of shop; and managing the database.
- Maintain customer satisfaction by investigating concerns, routing them to assigned staff and responding to special requests.
- Log service work requirements in job tracking system.
- Generate, interpret, and print various reports, such as the weekly labor usage report.
- Shipping & Receiving: repair/return items and receiving for jobs/stock/service.
- Manage the shipping and receiving of various materials and maintain data in
accounting software. - Count/manage office inventory and organize warehouse materials as they arrive.
- Providing assistance to General Manager and Sales staff.
- Maintain office filing system and project drawing files.
- Order and maintain office supplies and office equipment.
- Answer the telephone and attending to office guests.
- Assist with accounts receivable follow-up with customers and initiate collections phone calls/correspondence as needed.
- Assist with other corporate or departmental needs when requested.

Requirements
- High school diploma or general education degree required.
- One-year certificate from college or technical school; or six (6) months to two (2) years of related experience and/or training; or equivalent combination of education and experience desired.
- Experience with Microsoft Office is required.
- Must be able to work under conditions of frequent interruptions – paying close attention to numerous details. Interact with other associates, customers, and vendors in a professional, pleasant and efficient manner with good verbal communications.
- Final candidates must successfully pass a pre-employment drug screen and background investigation, including criminal and motor vehicle check.
