What You'll Do
This is an in-office position, reporting to work M-F, 8:30am-5pm. You'll play a key role in keeping our financial operations running smoothly—from invoicing to reporting to keeping our licenses compliant. This is not a traditional, aggressive collections role. Instead, you'll work with homeowners—often using their insurance proceeds—to help them understand balances and stay on track.
Accounts Receivable
- Prepare and issue accurate invoices for all completed projects (insurance and customer-paid).
- Review documentation for billing accuracy; resolve discrepancies with estimators or adjuster liaisons.
- Monitor AR aging daily and follow up proactively with homeowners and insurance carriers.
- Send reminders, statements, and payment updates in alignment with company procedures.
- Record and reconcile payments in QuickBooks Online; prepare weekly AR/collections reports.
- Escalate problematic or delayed accounts to the Finance Manager/Controller.
Financial Recordkeeping
- Record all financial transactions (AP, AR, deposits) and maintain an organized general ledger.
- Post and reconcile all monies received within 24 hours.
- Support month-end close by ensuring accurate, timely financial data.
Accounts Payable
- Process vendor and contractor invoices; ensure timely approvals and payments.
- Maintain W-9s/1099s and keep all Trade Partner documentation current and uploaded in DASH.
Financial Reporting & Compliance
- Assist with preparation of financial statements (P&L, Balance Sheet).
- Support tax and audit-related requirements.
- Maintain all active business licenses for Delaware, Maryland, and applicable towns.
Payroll & Employee Expenses
- Support payroll preparation and track employee expenses accurately and on schedule.
Process Improvement & Collaboration
- Identify recurring AR or billing issues and recommend practical, day-to-day improvements.
- Collaborate with internal teams (estimators, liaisons, vendors) to resolve financial or billing questions.
- Communicate professionally and proactively with homeowners and partners.
What You Bring
- 2 years of finance experience (AP/AR/payroll)
- 3 years of QuickBooks Online experience
- 1 year construction or restoration finance experience (preferred)
- Strong organizational skills and ability to prioritize
- Excellent communication and follow-up habits
- A drive to improve processes and keep things running smoothly
