Position Summary: The Clerk is responsible for the meticulous management of the school’s Activity Funds and Child Nutrition records. This role ensures that all financial transactions are conducted in strict accordance with the Oklahoma Cost Accounting System (OCAS) and state law, maintaining the highest level of transparency and integrity.
Key Responsibilities
Activity Fund Management:
- Receive, receipt, and deposit all monies from student organizations, athletics, and fundraisers.
- Maintain accurate ledgers for all sub-accounts; reconcile bank statements monthly.
- Process purchase orders (POs) and ensure all expenditures have proper documentation and board approval.
- Prepare monthly financial reports for the Board of Education.
Child Nutrition Support:
- Process and verify applications for Free and Reduced-Price Meals.
- Coordinate with Site Secretaries to maintain student meal accounts and coordinate with parents regarding balances.
- Compile data for monthly state reimbursement claims.
- Ensure compliance with USDA and OSDE Child Nutrition guidelines.
Requirements & Qualifications
- Education: High School Diploma required; Associate’s degree in Accounting or Business preferred.
- Bonding: Must be eligible for a Surety Bond as required by Oklahoma law.
- Technical Skills: Proficiency in spreadsheet and word processing software, and a preference in familiarity with school accounting software (e.g., Sylogist).
- Knowledge: Familiarity with OCAS coding and Oklahoma school finance laws is a significant plus.
