Administrative Operations Manager Responsibilities:
- Create an environment of professionalism, warmth, and welcome.
- Maintain the office in a clean and organized manner.
- Assist in participation of company safety program administration.
- Assist employees in post-accident/incident protocol.
- Manage policy update acknowledgement collection, annual and training documentation as directed and ensure completion and return by deadline.
- Serve as liaison between Shared Services and the Production/Transportation, partnering with each department (HR, IT, Accounting, Logistics & Safety) to help achieve objectives/goals.
- Connect employees with the appropriate shared services contact for questions/issues that cannot be resolved locally.
- Cultivate, grow, and maintain an effective team.
- Assist with recruitment, hiring, training, performance, corrective action, and termination processes for all direct reports on a daily basis.
Production Specific duties:
- Manage farm uniform program and ensure invoice reflects the correct usage.
- Orders and assigns PPE as position requires.
- Assist Farm Management/Safety in agriculture program adherence, such as entering information for certifications, applications, and licenses.
- Manage all Farm credit cards, spending approvals, credit card purchases, and scan receipts to the shared services office.
- Track expenses for farm budget purposes and work with Farm Manager to resolve any disparities efficiently.
- Manage, administrate and coordinate bulk purchases.
- Ensure all invoices, packing slips, monthly vendor statements, and POs are accurate and scanned into Sod Central.
- Ensure all work orders are coded and submitted to Accounting Team.
- Submit Farm Supplies orders to Accounting Team for internal billing.
- Enter sod orders and process payments for walk-in customers as needed.
- Coordinate onsite sod pickup orders, including time, location, loading, and any additional specific information.
- Create/Issue purchase orders (POs).
- Coordinate approved invoices and place them in appropriate folders daily (not to exceed 24 hours from time of approval).
- Manage with new hire application process to ensure all items are completed properly before sending.
- Manage farm orientation process (including safety) of new employees, coordinate company property and technology needs.
- Act as the designated authorized representative for in-person I-9 verification.
- Assist Farm Management with payroll, resolve missing punches, make time adjustments as needed, and prepare for approval.
- Communicate movement to Payroll for correct location coding each Monday.
Assist employees with general inquiries and/or direct them to the appropriate representative.
- Assist with Research and Development Administration as requested.
- Assist with setup and breakdown of on-site company events
- Assist ownership with administration of land, property, and timber assets as requested
H2A Specific duties:
- Coordinate H2A onboarding process and ensure all workers have bank accounts, Social Security cards, U.S. driver's license renewals, etc.
- Process weekly timecard acknowledgement signoffs/return to HR for audit purposes for H2As.
- Track H2A labor hours to ensure farm stays on budget/notify Farm Manager urgently of non-compliance.
- Assist with H2A housing, setup inspections, purchase products for compliance such as mattress covers, smoke detectors, housing cleaning supplies as directed by CDC/HR. etc. as requested.
Administrative Operations Manager Requirements:
- Must possess a high school diploma or GED equivalent.
- Advanced education in administrative skills or degree is desired.
- 3 years’ experience managing similar processes listed under position responsibilities (above).
- 3 years’ experience managing at least 3 people.
- Must possess Notary certificate or ability to obtain within 3 months of hire.
- Demonstrated ability to engage customers with professionalism, patience and a people-first attitude.
- Must demonstrate ability to be a team player and build positive working relationships with others.
- Values relationships and results.
- Ability to be physically/consistently present for critical onsite collaboration.
- Ability to discern what issues need to be brought to upper management.
- Must be able to handle multiple tasks and perform well under pressure of deadlines.
- Must be highly motivated and efficient with the ability to work independently.
- Experience with MS office suite (Outlook, Excel, Word, etc.) and the ability to learn company software programs required.
