POSITION: Conference Center Coordinator
LOCATION: Grand Rapids, MI
GENERAL PURPOSE:
Butzel is seeking a full-time Conference Center Coordinator for its Grand Rapids office. The Conference Center Coordinator will manage the conference center, greet clients and visitors, schedule and set up meetings, and answer telephones. This position may also support other administrative departments. Additionally, the Coordinator will supply information regarding the Firm to visitors.
RESPONSIBILITIES:
- Organize conference and meeting room bookings based on capacity and technology requirements.
- Assist in coordination of events and organize catering as requested.
- Answer multi-line phones, screening and forwarding incoming calls.
- Ensure reception area and conference rooms are cleaned and stocked.
- Provide other administrative assistance as needed such as typing, filing, copying or scanning.
- Greet persons entering office, monitor visitor access and maintain security awareness.
- Notify individuals with whom the visitors have appointments and direct visitors to correct destination.
- Track hand deliveries upon receipt, notify appropriate attorney and legal assistant.
- Maintain inventory relevant to reception area, kitchens and conference rooms.
- Assist Operations Department with facility communication and follow up.
- Cooperate with members of other administrative departments as necessary.
SKILLS AND ABILITIES:
- Effective verbal and written communication skills, with strong attention to detail.
- Ability to work effectively as a team member.
- Excellent computer skills with knowledge of Outlook.
- Reliable and strong work ethic.
EDUCATION, EXPERIENCE AND/OR TRAINING:
- High school diploma with one to two years of experience.
- Knowledge of administrative and clerical procedures.
- Knowledge of customer service principles and practices.
- Ability to utilize Microsoft Office.
