Role Description This is an on-site Office Assistant/Receptionist role based in Spokane Valley, WA. The Office Assistant/Receptionist will serve as the first point of contact for visitors and callers, greeting clients, answering and directing phone calls, and managing the reception area to ensure a professional and welcoming environment. Daily responsibilities include handling incoming and outgoing mail, scheduling and confirming appointments, maintaining office supplies, and organizing files and records. The role will also support tax and financial professionals with tasks such as preparing basic documents, data entry, photocopying, scanning, and faxing. The individual in this position will collaborate with team members to ensure smooth office operations and consistent, high-quality client service.
Qualifications
- Strong phone etiquette and customer service skills, including the ability to handle incoming calls and direct inquiries professionally.
- Administrative assistance and clerical skills, such as filing, data entry, document preparation, and managing mail and appointments.
- Clear and professional communication skills, both verbal and written, with the ability to interact confidently with clients and colleagues.
- Comfort using office equipment, including multi-line phone systems, printers, copiers, scanners, and basic computer applications.
- Strong organization, time management, and attention to detail, with the ability to manage multiple tasks in a fast-paced office environment.
- Proficiency with common office software (e.g., Microsoft Office or similar tools); experience with customer relationship management systems is a plus.
- Ability to maintain confidentiality, demonstrate reliability, and work effectively as part of a professional team.
- High school diploma or equivalent required; prior experience in an office, reception, or customer-facing role in financial services or a related field is preferred.
- Tax Preparation experience is a plus.
