Position Overview
We are seeking an Executive Assistant & Office Manager to work directly with the Principal and oversee the day-to-day operations of our New York office.
This role is central to the firm’s organization and efficiency. The ideal candidate is highly organized, proactive, and capable of managing multiple priorities while maintaining a high level of professionalism. This position requires someone who can anticipate needs, operate independently, and support both executive-level coordination and office operations.
Key Responsibilities
Executive Support
- Manage the Principal’s calendar, meetings, and travel arrangements
- Coordinate internal and external meetings, including client interactions
- Prepare and organize materials for meetings and presentations
- Assist with correspondence and follow-ups to ensure continuity
Office Management
- Oversee daily operations of the New York office (DUMBO)
- Coordinate vendors, supplies, and office services
- Maintain a professional, organized, and efficient work environment
- Support office setup and ongoing operational needs
Business & Project Support
- Assist in preparing proposals, presentations, and client materials
- Coordinate with finance, project management, and design teams
- Track tasks, deadlines, and internal workflows
- Support general business operations as needed
Administrative & HR Support
- Coordinate scheduling and logistics for interviews and hiring processes
- Assist with onboarding of new team members
- Maintain organized records and documentation
Qualifications
- 3–7 years of experience in an executive assistant, office manager, or similar role
- Strong organizational and time management skills
- Excellent written and verbal communication skills
- High level of professionalism and discretion
- Ability to manage multiple priorities in a fast-paced environment
- Proficiency in Microsoft Office / Google Workspace
Preferred:
- Experience in architecture, design, real estate, or professional services environments

Compensation & Benefits
- Base Salary: $75,000 – $90,000, based on experience
- Performance Bonus: Discretionary, based on performance
