Job Title: PAYROLL SPECIALIST
Reports To: PAYROLL COORDINATOR
General Job Description:
Under general direction, provide support to the Payroll Coordinator including interaction and availability to employees for question resolution, process monthly payrolls, process employee leave maintenance and reconciliation of all benefits. Responsible for payroll processing and reporting for Sidney Gutierrez Middle School.
Essential Duties and Responsibilities:
- Process employee leave forms and calculate pay docks, integrating Frontline time and attendance with payroll software.
- Monitor new employees into payroll system, including contract dates, W-4 accuracy, and all mandatory deductions. Verify new employees have accurate leave accounts and are in time and attendance.
- Process timesheet payroll monthly, including verification of contract hours against timesheets, calculation of hours to pay, balance deductions, and data input. Calculate regular and overtime correctly.
- Process monthly substitute’s payroll and monthly extra pay work agreement pay.
- Run Sidney Gutierrez payrolls each pay period including direct deposit requirements, tax deposits, printing and distributing checks to employees.
- Reconcile and pay monthly insurance billing; supplemental insurance and NMPSIA reconciliation.
- Work with payroll coordinator to ensure accurate benefit deductions.
- Perform backup to Payroll Coordinator during absence.
- Address questions from employees relative to payroll.
- Knowledge of computer systems, including data base and word processing programs.
- Maintain confidentiality with sensitive matters, aware of laws on information release.
- Be flexible and able to prioritize tasks and maintain accurate and detailed records.
- Work independently with very little supervision.
- Report to work on time and work no less than 7 hours per day.
- May be required to perform other related functions as assigned by your supervisor.
- Working knowledge of union contracts as they apply to payroll.
- Update Extra pay rates for all employees annually as they affect payroll.
- Update time and attendance daily.
- Maintain frontline calendars and employee set up.
- Maintain sick leave bank balance and those that participate.
- Maintain leave balances, track leave, collect insurance payments from those on leave and helping the payroll coordinator with those that leave and return on FMLA, Workers Comp or Leave with or without pay.
- This job description is not all inclusive and other duties and responsibilities that are reasonably related to this position may be assigned from time to time as needed by management within the scope of the payroll process.

Qualifications:
- Bachelor’s Degree in Accounting, Business Administration, Finance or related field (Preferred).
- Experience in accounting or payroll.
- Knowledge of new legislation affecting payroll and benefit administration.
- Knowledge of Microsoft Office – Excel and Word
- Knowledge of ERP Pro School Software

Physical Requirements:
Sitting, standing, lifting and carrying (up to 40 pounds), climbing stairs, reaching, squatting, kneeling, having full mobility of fingers/hands, and moving light furniture may be required, unless ADA accommodations have been mutually agreed on and does not create an undue hardship upon the district.
Safety and Health:
Knowledge of universal hygiene precautions (blood borne pathogens, body fluids, etc.)
Equipment/Material Handled:
Must know how to properly operate, or be willing to learn to operate, multi-media equipment including current technology as needed.
Work Environment:
Must be able to work within various degrees of noise and temperature. Interruptions of work are routine. Flexibility and patience are required. Must be self-motivated and able to complete job assignments without direct supervision. After hours work may be required. May make site visits when needed. May work under stressful conditions on occasion.
Terms of Employment:
Salary : $67,910 - $71,308
