Position Overview
The Office Administrator will be the operational backbone of Bushnell Motorsports Park, ensuring all administrative, financial, and human resources functions run smoothly, are well organized, with minimal errors. This role is critical to our growth strategy and requires someone who is detail-oriented, organized, and capable of managing multiple priorities with professionalism.
Core Responsibilities
Human Resources & Employee Management
- Manage employee scheduling (create, update, and communicate schedules)
- Process time off requests, track PTO/sick days, and maintain accurate records
- Conduct employee interviews and coordinate the hiring process
- Manage employee onboarding and paperwork
- Maintain personnel files and employment records
- Address performance issues, distribute warnings, and support disciplinary action when necessary
- Communicate company policies and procedures to employees
Payroll & Financial Management
- Process payroll bi-weekly and ensure accurate and timely payment
- Oversee accounts payable (paying vendors, invoices, etc.)
- Track and manage business expenses
- Maintain financial records and documentation
Operational Management
- Manage the business calendar including track rentals, private events, and internal operations
- Coordinate scheduling between Operations and Front of House to prevent conflicts
- Monitor and enforce track rental agreements and contracts
- Track upcoming events and communicate timelines to relevant teams
- Filing of insurance documents, accident reports, etc.
- Mailing of monthly insurance packages.
- Helping structure, book and set up corporate events.
Vendor & Supply Management
- Order and manage office supplies, snacks, materials, and equipment
- Maintain vendor relationships and pricing negotiations
- Track inventory and reorder as needed
- Ensure timely delivery of supplies to support operations
Administrative & Communications
- Answer and direct phone inquiries
- Respond to emails and maintain professional communication standards
- Serve as the point of contact for general business inquiries
- Manage filing systems and documentation
- Maintain organized records for compliance and reference
- Occasionally checking in customers or addressing customer or track needs.
Compliance & Documentation
- Ensure payroll, tax, and employment records meet legal requirements
- Support insurance and state compliance documentation
Key Qualifications
- Proven experience in office management, HR administration, or similar role
- Strong organizational and multitasking abilities
- Proficiency with payroll software, spreadsheets, and general business software
- Excellent written and verbal communication skills

Note
This is a new and critical position for Bushnell Motorsports Park. We are seeking someone ready to help us scale operations and support our team as we grow. This is a 2026 pilot role, and we will be evaluating the structure as it grows.
Hours:
We are looking for 20-30 hours per week.
This role would be perfect for a parent who is looking for part time work while their children are at school.
We are semi-flexible on the days and times for the right person. A few hours on a Saturday or Sunday would be preferred, but not required.
Pay: $22.00 - $24.00 per hour
Expected hours: 20.0 – 30.0 per week
