Summary
The Parts Clerk is responsible for ordering, receiving, organizing, and issuing parts, equipment, and supplies to support fleet maintenance operations. This position maintains accurate inventory records, ensures timely availability of materials for technicians, and supports purchasing and administrative functions for the fleet program. The role requires strong organizational skills, attention to detail, and the ability to work effectively with vendors, staff, and customers.
Essential Duties and Responsibilities include the following.
- Order parts, equipment, and supplies while ensuring cost-effective purchasing and vendor coordination
- Receive, inspect, and stock incoming inventory; verify accuracy and condition of items
- Maintain accurate inventory records, including additions, deletions, and adjustments in inventory systems
- Issue parts and materials to technicians and departments based on work orders and requisitions
- Monitor stock levels and reorder inventory based on usage trends and operational needs
- Conduct regular physical inventory counts and assist with year-end inventory processes
- Process purchase orders, invoices, and service orders in a timely and accurate manner
- Manage vendor accounts and maintain positive relationships with suppliers
- Track, process, and return defective or warranted parts to ensure full credit recovery
- Maintain organized storage areas, ensuring proper labeling, safety, and security of parts and equipment
- Support fleet maintenance record keeping, including cost tracking, parts usage, and inventory history
- Assist with coordination of outsourced repairs and related documentation
- Operate office equipment and inventory management systems to support daily operations
- Maintain a clean, safe, and efficient work environment
- Perform other duties as assigned
Qualifications
- High school diploma or equivalent required
- Experience in inventory control, parts management, warehouse operations, or automotive service preferred
- Basic knowledge of automotive or mechanical parts and supplies preferred
- Strong computer skills, including inventory or fleet management systems
- Excellent organizational, multitasking, and time management skills
- Ability to work independently and meet deadlines in a fast-paced environment
- Strong communication and customer service skills
Preferred Certifications/Licenses
- Forklift certification or ability to obtain
- Valid driver’s license (CDL Class B preferred but not required)

Reasoning/Other Abilities
Ability to apply common sense understanding to carry out simple one-or two-step instructions. Ability to deal with standardized situations with only occasional or no variables.
Physical Demands
While performing the duties of this job, the employee is frequently required to stand, walk, talk, hear, and perform physical tasks throughout the day. The employee must be able to lift and/or move up to 50 pounds, occasionally more.
Specific vision/hearing abilities required by this job include close vision, and ability to adjust focus as well as solid ability to hear. Employee must have manual dexterity to handle tools, equipment, and inventory items
Work Environment
The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. The employee’s location is in a warehouse, garage, or fleet service building and is frequently exposed to fumes or airborne particles, outside weather conditions and vibration. The noise level in the work environment is usually loud. Work is subject to deadlines and frequent interruptions.
