GENERAL PURPOSE:
The Staff Accountant maintains a complete set of records of the financial transactions of the School Department to ensure the availability of accurate information. The Staff Accountant ensures confidentiality in all matters related to staff and student personal information.
GENERAL RESPONSIBILITIES:
1.Verifies and posts transactions from cash receipts and accounts payable disbursements, reimbursements, requisitions, and insurances into general ledger maintained in the Munis system in accordance with estab1ished procedures.
2.Assists in the preparation of reconciliations of School Department and Town accounting records to ensure accurate information is exchanged between departments.
3.Assists in compiling information to be included on required federal, state, and local reports including RIDE UCOA (Uniform Chart of Accounts) (educational funding reports) and reports on such items as cash receipts and expenditures.
4.Monitors and updates grant files and/or electronic files with federal and state information, purchase orders, correspondence, and invoice vouchers to maintain information for review with grant application.
5.Assists Grants Administrator and/or Business Manager with finance reporting and budgeting.
6.Prepares and distributes CTE (Career Technical Education) tuition invoices and maintains related records.
7.Maintains petty cash and demand deposit accounts at appropriate levels, assumes responsibility as the custodian of funds, and maintains related records.
8.Assists with the recordkeeping and reconciliation of school CIP funds.
9.In the absence of the Human Resource Specialist assists with the completion of work and continuation of the work flow of the Business Office.
10.Assists with payroll preparation documents as needed.
11.Assists with the conversion of general ledger data from the Munis system into a database for Department of Education reporting.
12.Provides technical support for the Munis system as required.
13.Assists with the preparation of the School Department Budget.
14.Assists with the pre-audit of student activity accounts and assists with the annual financial/ operations audit.
15.Assists with the processing of income and expenditures records and creates reports for various enterprise funds, i.e. food service, student activity accounts, etc.
16.Maintains confidentiality regarding staff and student information.
17.Other job-related duties as required.
MINIMUM QUALIFICATIONS:
1.Minimum of Associates Degree in Business Finance or related field required and 3 or more years of bookkeeping and accounting experience.
2.Working knowledge of computer systems and software spreadsheet applications.
3.Ability to organize and express thoughts and ideas through oral and written communications.
4.Ability to write clearly, to recognize common grammatical errors, to perform mathematical operations, and to solve problems at the level required for the position.
5.A pleasant manner and positive, professional attitude that facilitates good interaction with the public.
6. Lifting and carrying, manual dexterity.
