Job Title: Project Coordinator
Primary Objective: Coordinate the day to day flow of project orders to ensure on-time delivery, customer satisfaction, and project budget are achieved.
Primary Functions: This position is responsible for the post sale coordination and scheduling of product shipments and staging and delivery resources to ensure achievement of defined project requirements. Collect final payments. The Project Coordinator must ensure key quality processes and adhere to company policies.
Reports To: Operations Manager
Scheduled Hours: Full-time / Mon-Fri / 8:00am-5:00pm / Saturday Flex
FLSA Status: Exempt/Salary
Key Areas of Responsibility
Manage projects to ensure install requirements, budget & on time delivery are achieved
Responsible for communicating requirements and coordinating install with all parties
Generate system Projects through Auto Quotes conversions or imports
Project PO Maintenance and Change Management
Responsible for managing discrepancies and changes through resolution
Works directly with Purchasing, Sales, Operations and Accounting team members to coordinate timely delivery of Projects and resupply orders
Obtaining owner’s manuals from manufacturers and manage files for Bid project folder
Create Owner’s Manual & Warranty Binders for Close Out Documents
Complete close out documentation required per job
Coordinate & Submit all required project documentation to customer and Ops team
Facilitate in all Meeting and ongoing project schedule review
Communicate lessons learned and gaps and wins
Is dedicated to meeting the expectations and requirements of internal and external customers
Provides customer with basic product/service information such as manufacturer warranty policies and product manuals as needed
Work closely and effectively with fellow Coordinators to ensure support across all accounts
Must thoroughly understand and display knowledge of all customers contracts
Partner with the sales team to ensure account retention through seamless customer support, resource orchestration, and order fulfillment troubleshooting
Post-sale single point of contact, forwarding sales leads to the appropriate account manager when applicable
Other duties as assigned related to improvement of team performance, processes and client satisfaction
Manifest scheduling for sales and projects
Customer Service
Ensures customer satisfaction by remaining focused on diagnosing and resolving the customer issue according to operational service levels.
Is dedicated to meeting the expectations and requirements of internal and external customers
Displays enthusiasm, sincerity and professionalism when responding to the customer’s requests and questions.
Interacts with clear, professional written and verbal communications with clients of various levels of Management, and other departments within the organization
Processes Service tickets, Return Merchandise Authorizations and Freight Claims to ensure proper documentation of issues, status notes, diagnosis, resolution and costs as required by production or distributor.
Determines the appropriate solution, educates the customer on options for resolution according to needs of customer and company policies.
Participate in Reliability meetings as required for supplier or customer updates
Ensure that ALL customer exchange orders are either refused at delivery for damages or have an authorized Warranty Exchange Form filed
Provides customer with product/service information such as manufacturer warranty policies and product manuals as needed
Other duties as assigned as related to continuous improvement of team performance, processes and client satisfaction
Requirements

Maintains an excellent working relationship including mutual trust and confidentiality with Account Managers and fellow Project Coordinator(s)
Education and Training
Associates degree or minimum of 5 years of business-to-business customer interaction experience required
Project, delivery or installation scheduling experience preferred
Ability to read blueprints and understand layouts/designs is a plus
ServSafe Level 2 Certification a plus
CFSP Certification is a plus
