As the first and consistent point of contact for our clients and partners, you’ll be the friendly, dependable voice that sets the tone for every interaction. You’ll manage schedules, handle incoming calls, texts, and emails, and keep reminders and follow-ups moving on track. At the same time, you’ll help modernize how we work—creating and refining processes, updating systems, and ensuring our CRM system and scheduling tools are, well… bulletproof (pun intended).
Think of yourself as part “gatekeeper”, part “air traffic controller”, and part “client concierge"—keeping communication clear, projects flowing, and everyone at ease in a company that designs, builds, repairs, and renovates acreage water features designed to last for generations.

Work Schedule
- Typical Hours: 40 hours per week
- General Schedule: Monday - Friday, 8 AM - 5 PM
- Location: In-rural private-property office, typically not customer facing. (16635 Fairmount Rd. Basehor, Kansas)
Note: This position is currently in-office. Remote or hybrid work options are not available until 1 year. Due to the highly collaborative nature of this role and the essential need for consistent communication with our small and developing team, on-site presence is required—particularly as we work to build a strong foundation for this department. However, after 1 year of continuous employment, the option for 1 day of hybrid work per week may be considered as a discretionary benefit. This option is not guaranteed and will be granted only if the employee consistently meets or exceeds production expectations, demonstrates strong communication skills, and maintains a high level of accountability and performance. This policy and benefit ensures that team alignment, responsiveness, and project execution remain at the highest standard while allowing flexibility to high-performing team members as an earned privilege.

- 5 days of paid time off (PTO) per year (resets annually, does not overlap) - Available after 6 months of employment.

Requirements
- Full-time: Monday–Friday, 8:00 AM–5:00 PM.
- Minimum 1 year of administrative experience.
- Strong organization and note-taking skills (fast, accurate typing and texting skills required).
- Passion for or possesses familiarity and appreciation within construction, ponds, lakes, and the outdoors (hunting, fishing, conservation, heavy equipment, etc.).
- Excellent English, grammar, customer service skills and communication abilities (both written and verbal).
- Familiarity with CRM systems or a proven ability to learn quickly.
- Proficiency in Google Drive, Docs, Sheets, Gmail / Email, Calendar, Docusign, and mobile communication tools. Familiarity with Google Meets, Zoom, Loom, and other video-centric softwares.
- Familiarity with QuickBooks or willingness to learn.
- Competence to utilize AI tools (ChatGPT and others) for workflow support.
- Ability to work both independently and collaboratively… Strong attention to detail and a proactive, creative and solution-oriented mindset.
- Personality: bubbly, personable, professional, likeable, and engaging—the kind of voice and presence people remember and want to hear from.
- Reliable modern mobile phone to utilize apps the whole company team uses primarily for communication.
- Reliable transportation to and from our Basehor, KS location.

Itemized Key Responsibilities
- Answer all incoming calls, emails, texts, and contact forms promptly and professionally.
- Schedule appointments and events for phone calls, site evaluations, diagnostics, partner meetings, and team needs.
- Follow up consistently with leads and clients, taking detailed notes and documenting all interactions in the CRM.
- Send reminders, confirmations, and follow-ups for appointments, invoices, contracts, and projects.
- Assist with some virtual filings, occasional HR paperwork, and general administrative duties as needed.
- Organize and update CRM systems, calendars, partner lists, and other related lists and systems to improve workflow and client experience.
- Suggest and implement process improvements for scheduling, office systems, and sales, and others as it relates to Bulletproof, the team, and the office.
- Provide support in communications on behalf of team members as needed.
- Seek out continuous ongoing learning about the world of ponds, lakes, and outdoor living to better serve the team, clients, and partners.
- Collaborate with a small but growing office team of 5–6 people (in marketing, estimating, design, and project management.)
