This includes overseeing documentation related to quality, food safety, regulatory compliance, and production processes. This person ensures that all documents comply with FDA, SQF, HACCP, GMP and other applicable industry standards, and that documents are readily available for audits, inspections, and internal use.

The Quality Assurance (QA) Document Control Specialist will be responsible for the management, organization, and maintenance of controlled documents within our facility. This includes overseeing documentation related to quality, food safety, regulatory compliance, and production processes. This person ensures that all documents comply with FDA, SQF, HACCP, GMP and other applicable industry standards, and that documents are readily available for audits, inspections, and internal use.
What You’ll Do
- Develop, implement, and maintain a document control system for policies, standard operating procedures, and controlled documents (forms, master manufacturing records, etc.) related to the Quality Management System.
- Ensure timely review, revision, approval, distribution and archiving of all controlled documents.
- Maintain version control and document history in compliance with regulatory and company standards.
- Collaborate with cross-functional teams including Quality, Production, R&D, and Sanitation to ensure documentation accuracy and compliance.
- Prepare and organize documentation for internal and external audits, customer requests, and regulatory inspections.
- Train staff on document control procedures and ensure consistent document practices across departments.
- Monitor document review dates and coordinate periodic reviews and updates.
- Route new and recently updated documents for approval and storage.
- Ensure security and confidentiality of sensitive information and restricted documentation through internal controls, as directed.
- Support the implementation of continuous improvement initiatives related to documentation and food safety systems.
- Follow all company policies and procedures as defined by management.
- 2 years' experience in Quality Assurance or Document Management related work.
- Bachelor's degree in science related field preferred.
- Knowledge of food safety and Quality standards (GMP, HACCP, SQF, FDA regulations).
- Strong attention to detail and organizational skills.
- Proficient in document management software, Microsoft Word, and Excel.
- Excellent organizational skills, attention to detail, and ability to manage multiple tasks.
- Strong verbal and written communication skills.
