Job Summary
We are seeking an energetic and detail-oriented Administrative and Outreach Coordinator to join our team. In this pivotal role, you will manage daily office operations, coordinate outreach activities, and serve as the first point of contact for clients, visitors, and staff. Your proactive approach will ensure smooth administrative workflows while fostering positive community engagement. Outreach Responsibilities:
- Maintain up to date knowledge regarding eligibility and appropriateness criteria for all programs
- Monitor Outreach/Referral Tracking Sheet
- Make initial calls to families and work through eligibility criteria
- Take initial calls from community referral sources
- Utilize Docusign for releases
- Utilize Ring Central to fax record requests
- Monitor and Update Google Folders with eligibility information
- Submitting Referral to HH and MAPP (segments)
- Alert Program Manager when a case is ready to be enrolled
- Monitor program capacity
Administrative Responsibilities:
- Greet and welcome clients and visitors in a friendly and professional manner
- Answer phone calls and direct calls to appropriate staff member
- Provide customer support and address client inquiries or concerns
- Perform clerical tasks such as filing, faxing, and scanning documents
- Assist with order and inventory management
- Maintain order of a busy office and help staff with overflow tasks
- Manage office calendars
- Organize client and storage rooms
Skills:
- Excellent communication skills, both verbal and written
- Strong organizational skills with attention to detail
- Proficient in using computer software such as Microsoft Office Suite
- Ability to multitask and prioritize tasks effectively
- Experience working in an office or similar environment is preferred
