What are the responsibilities and job description for the Administrative Assistant position at Buffalo Presbyterian Church?
PURPOSE: To provide administrative services to the Pastor, Session (church board), and other professional church staff. To coordinate the day to day business activities of the church, including the scheduling and coordination of volunteer personnel. RESPONSIBILITIES: The responsibilities shall include, but are not limited to the following and may be accomplished by the Administrative Assistant. The regularity of the responsibilities listed span weekly to annual duties.
- General secretarial functions to the Pastor and other staff.
- General receptionist functions for the church office/building. Including scheduling of building use by church members and outside organizations.
- Production and management of digital and print materials necessary for general communication within the church and to the community. This will include but is not limited to production of Sunday and special service bulletins, newsletters, brochures, annual reports, weekly/monthly/annual calendars, newspaper notices/schedule, weekly volunteer rotations,.
- Regular Website updates/maintenance, and social media updates/maintenance in cooperation with the Communication Committee.
- Maintain permanent records of the church in conjunction with the Clerk of Session and Treasurer, including various membership rolls, baptismal and marriage records, Session and/or committee minutes, By-Laws, financial records, and other documents as needed.
- Support work of church committees and projects with direction from the Pastor or Clerk of Session as needed, including meeting notices, agenda, minutes, purchasing of materials, etc.
- Manage all mail functions for the church, including regular postal, electronic and courier.
- Maintain/order office supplies as needed.
- Entry of weekly donations into the database, forwarding of all incoming bills to the Treasurer, and opening the safe for the counting team. Annually, the role involves mailing out stewardship information,and inputting yearly pledges into the Realm system. Production and distribution of quarterly and annual giving statements in cooperation with the treasurer.
- Update weekly/monthly volunteer work schedule and rotation lists. Communicate all updates with volunteers.

TECHNOLOGY SKILLSET:
Ability to learn and use the following software: Microsoft 365 suite (Word, Excel, Outlook, etc), G Suite (Gmail, Docs, Sheets, Forms, etc), Canva, Realm, Wix, Meta Business Suite (Facebook and Instagram).
Ability to organize and maintain digital files both hard drive and cloud based.
This position is integral to maintaining a welcoming and organized office and church.

Pay: $21.00 - $23.00 per hour
