What are the responsibilities and job description for the Bookkeeper/Human Resources Representative position at BUFFALO MUSEUM OF SCIENCE?
The Buffalo Society of Natural Sciences (Museum of Science and Tifft Nature Preserve) is looking for a full-time Bookkeeper/Human Resources Representative who will work under the guidance and supervision of the Vice President of Finance and Administration, and be responsible for performing a variety of general financial and recordkeeping duties, in addition to administrative Human Resources functions.
The successful candidate will be paid in the range of $45,000-50,000 annually, based on experience and skill level, and will receive excellent benefits including paid time off, health insurance, 401K with company match, paid holidays and more. This position requires in-office work and may not be eligible for a remote working arrangement.
Essential functions include:
Accounts Payable:
- Calculate and post business transactions, process invoices, verify financial data for use in maintaining accounts payable record
- Assemble invoices to be completed for payment and generate checks, wire and ACH payments
- Research and resolve invoice discrepancies and issues
- Correspond with vendors and respond to inquiries
- Manage vendor files and prepare 1099 forms annually
- Assist with credit card processing and reconciliations
- Provide supporting documentation for annual audit
Cash and Deposits:
- Count, reconcile and update cash banks on a daily basis for admissions, cinema, and group sales.
- Responsible for the daily deposit process in Altru database
- Coordinate with development department and process all cash receipts activities including daily register transactions and donations
- Complete daily check register
- Prepare weekly attendance/admission report from Altru
- Complete refunds and advance sales orders in Altru
- Responsible for matching Altru revenue receipts into Financial Edge enterprise reporting system
- Maintain and dispense petty cash to staff members and prepare monthly check requests for petty cash reimbursement
Human Resources:
- Assist in the recruitment process and complete new employee onboarding and paperwork.
- Administer background check process.
- Process bi-weekly payroll.
- Administer employee benefits.
- Handle employment-related inquiries and/or concerns.
- Ensure compliance with training, policies, and practices.
- Assist in paperwork process for FMLA, DBL, W/C, etc.
Administrative:
- Manage monthly copier usage and prepare usage output information
- Manage outgoing daily mail
- Respond to general internal inquiries for purchase orders, tax exemption forms, W-9’s, credit cards and Society vehicle keys
- Handle related administrative duties including filing and correspondence.
- Other duties as assigned
- Regular attendance is an essential function of the position.
Education, Experience, Skills, and Qualities Required:
- Associate’s degree or equivalent in accounting, bookkeeping, human resources, or other applicable field.
- Demonstrated proficiency with Microsoft Office and advanced skills in Excel and/or accounting databases required.
- Ability to become proficient in Altru database navigation and reporting
- Commitment to maintaining highest standards of integrity and professional conduct.
- Strong analytical, organizational and project management skills, with outstanding attention to detail
- Excellent written and verbal communication skills, with the ability to engage and work closely with colleagues, vendors and contractors
- Ability to operate both independently and on team projects, take initiative and follow-through on assignments
- Ability to multi-task and work effectively in a fast-paced team environment
Physical Demands
- Working at a computer for extended periods of time.
- Listening and speaking on the phone frequently.
- Must be able to communicate effectively with other employees.
- Occasional need to move files or office supplies, weighing up to 10 lbs.
