Job Overview
We are currently seeking an organized, highly motivated, and proactive Firm Administrator to join our team. As the Firm Administrator, you will play a critical role in the day-to-day operations of the firm. You will primarily handle the bookkeeping/accounting responsibilities for the firm, administrative oversight functions, manage office procedures, and assist with HR operations. This position is essential to ensuring that the firm runs smoothly and efficiently. As such, the position is in office Monday through Friday, with potential for some remote work.
Duties
- Maintain accurate financial records for the company, including accounts payable, accounts receivable, general ledger, and bank reconciliations.
- Prepare monthly, quarterly, and annual financial reports for management.
- Process payroll, ensuring compliance with applicable regulations and timely distribution.
- Track and manage company expenses, ensuring proper documentation and coding.
- Reconcile bank statements and credit card accounts regularly.
- Assist with the preparation of tax filings and work closely with external accountants or tax professionals.
- Oversee the daily operations of the office, including managing office supplies, equipment, and facilities.
- Coordinate and manage firm-wide administrative tasks and office support.
- Develop and implement office policies and procedures to enhance productivity.
Requirements
- Proven experience in a firm administrator role, preferably in a law firm environment.
- Experience with payroll processing and accounting principles.
- Strong organizational, multitasking, and time-management skills.
- Excellent communication skills, both written and verbal.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and legal management software. Experience in using Centerbase is preferred.
- Knowledge of HR best practices and experience managing payroll and benefits.
- Detail-oriented, proactive, and able to handle confidential information with discretion.
- Ability to work independently and as part of a team.
