Job Overview

We are seeking a professional and organized Front Desk Receptionist to join our team. The ideal candidate will serve as the first point of contact for visitors and callers, providing exceptional customer service and administrative support. This role requires strong communication skills, proficiency in office management tools, and the ability to multitask efficiently in a fast-paced environment. Experience with office software such as Microsoft Office, Google Workspace, and QuickBooks is highly desirable. Bilingual abilities are a plus to effectively serve diverse clients and visitors.

Duties

  • Greet visitors and clients warmly, ensuring a positive first impression
  • Manage multi-line phone systems, screen calls, and direct inquiries appropriately
  • Schedule appointments and manage calendars using calendar management tools
  • Perform data entry, filing, and maintain organized records
  • Handle correspondence via email, phone, and written communication with professionalism
  • Assist with office management tasks including proofreading documents, managing supplies, and supporting administrative functions
  • Support customer service efforts by addressing inquiries promptly and courteously
  • Utilize computer skills to update databases, prepare reports, and support bookkeeping tasks using QuickBooks or similar software
  • Maintain a clean and organized reception area to promote a welcoming environment

Requirements

  • Proven experience in office management, clerical work, or administrative support roles
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills
  • Excellent organizational skills with the ability to prioritize tasks effectively
  • Exceptional phone etiquette and customer service skills
  • Ability to handle multi-line phone systems efficiently
  • Bilingual abilities are preferred to assist a diverse clientele
  • Experience with QuickBooks or bookkeeping is a plus
  • Previous experience in medical or dental receptionist roles is advantageous
  • Strong attention to detail with proofreading and document management skills
  • Ability to work independently with minimal supervision while maintaining professionalism in all interactions
  • Excellent time management skills to handle multiple responsibilities simultaneously
