Job Title: Sr. Executive Assistant

Job Duration: 6 Months Contract – W2

Job Location: Alameda, California – 94502 (Onsite)

Job Overview

We are seeking an Executive Assistant to provide high-level administrative support to our CEO. The ideal candidate will be highly organized, detail-oriented, and capable of managing multiple tasks efficiently.

Responsibilities

  • Manage the CEO's calendar and schedule appointments
  • Coordinate travel arrangements and prepare itineraries
  • Prepare reports, presentations, and correspondence
  • Conduct research and compile data as needed
  • Handle confidential information with discretion
  • Assist in preparing financial reports using QuickBooks
  • Organize and maintain physical and digital files
  • Answer and direct phone calls
  • Greet visitors and manage the front desk when needed

Requirements

  • Proven experience as an executive assistant or similar role
  • Proficiency in Microsoft Office Suite (Outlook Calendar, Word, Excel, PowerPoint)
  • Experience within the pharmaceutical and biotech industries
  • Prior computer and administrative experience including calendar management, travel arranging, expense reporting, handling logistics, typing, editing, customer service

Job Type: Contract

Pay: $35.00 - $40.00 per hour

Expected hours: 40 per week

Schedule:

  • 8 hour shift
  • Day shift
  • Monday to Friday

Education:

  • High school or equivalent (Preferred)

Experience:

  • Senior Executive Assistant/Office Manager: 9 years (Required)
  • Pharmaceutical/Biotech/Biotechnology: 9 years (Required)
  • Calendar Management/Concur/Expense Reports/SAP Concur: 9 years (Required)

Ability to Commute:

  • 1851 Harbor Bay Parkway , Alameda, California 94502 (Required)

Work Location: In person

Salary : $35 - $40
