Position Objective
The Operations Support, Training & Quality Control Specialist provides coordinated support across Operations, Compliance, Training, Recruiting, Human Resources, Logistics, Payroll, and contract leadership. The position guides candidates and employees through onboarding and qualification; coordinates training and credentialing; maintains accurate records in TAMS, WinTeam, and related systems; performs quality-control reviews and compliance audits; and uses data analysis, reporting, and process improvement to sustain an audit-ready, deployment-ready workforce. The role serves as a collaborative bridge between departments, ensuring that requirements, documentation, and corrective actions move to completion through clear ownership and closed-loop communication.
Primary Responsibilities
Schedule required medical evaluations, training, licensing, and other readiness activities; record results in the appropriate tracker or system.
Notify candidates of dates, times, locations, prerequisites, and changes; require confirmation and follow up on nonresponses, absences, or incomplete requirements.
Maintain closed-loop communication with Recruiting, HR, supervisors, Logistics, Training, and contract leadership regarding candidate progress, delays, and confirmed start readiness.
Notify the appropriate supervisor and Logistics representative when a candidate is fully qualified for scheduling and uniform/equipment issuance; provide backup operational support when assigned.
Primary Responsibilities
Assess completed and outstanding training, licensure, medical, drug-screen, credentialing, adjudication, and documentation requirements; maintain an accurate readiness status for each candidate.
Obtain candidate contact information from approved recruiting systems and maintain timely, professional communication throughout onboarding.
Schedule required medical evaluations, training, licensing, and other readiness activities; record results in the appropriate tracker or system.
Notify candidates of dates, times, locations, prerequisites, and changes; require confirmation and follow up on nonresponses, absences, or incomplete requirements.
Maintain closed-loop communication with Recruiting, HR, supervisors, Logistics, Training, and contract leadership regarding candidate progress, delays, and confirmed start readiness.
Notify the appropriate supervisor and Logistics representative when a candidate is fully qualified for scheduling and uniform/equipment issuance; provide backup operational support when assigned.
Enter, update, and validate new-hire and active-employee qualifications in TAMS, WinTeam, and approved compliance databases only after receipt of complete and authorized supporting documentation.
Track expiration dates and initiate renewals for state-specific armed and unarmed licenses, certifications, credentials, medical requirements, and other contract qualifications.
Maintain contract-specific spreadsheets, reports, databases, and an organized central repository of audit-ready physical and electronic records.
Compile and submit required documentation for agency, facility, suitability, or clearance processes and coordinate required forms or exhibits with the correct Contracting Officer's Representative or designated representative.
Generate weekly or scheduled compliance reports showing current status, exceptions, and upcoming expirations at 30-, 60-, and 90-day intervals.
Protect sensitive personnel, medical, credentialing, contract, and system information in accordance with privacy and security requirements.
