The Operations Assistant is responsible for assisting with the day-to-day operations of BST. This role provides operational support which enables the BST Team to maximize production and deliver exceptional employee and client experience. The Operations Assistant requires a highly organized, detail-oriented individual with excellent communication skills to collaborate with internal team members to streamline processes, improve service delivery and drive overall business performance.

About the Operations Assistant Role
The Operations Assistant is responsible for assisting with the day-to-day operations of BST. This role provides operational support which enables the BST Team to maximize production and deliver exceptional employee and client experience. The Operations Assistant requires a highly organized, detail-oriented individual with excellent communication skills to collaborate with internal team members to streamline processes, improve service delivery and drive overall business performance.
In this role, you will:
Business Office Operations:
- Support data accuracy in the firmwide Practice Management database by receiving, troubleshooting, and reporting time and expense entries, maintaining client and staff rate tables, performing annual maintenance of staff assignments and client balances.
- Serve as the central liaison and subject matter specialist for the firmwide Practice Management database by collaborating with and providing hands-on support to staff and management in all lines of business.
- Maintain records; file, destroy, and archive documents to ensure and provide prompt responses to requests for documentation such as W-9s, ACH/wire instructions, Certificates of Insurance, Partner Insurance, et al.
- Support timely cash receipts processing by receiving, scanning, and depositing checks. Generate reports for Accounts Receivable entries.
- Support timely and accurate administration of employee benefits by reconciling enrollments on monthly invoices from providers.
- Maintain and maximize order and efficiency in the general office space, including reception, kitchen, coffee bars, storage and conference rooms.
- Perform daily and timely review and distribution of deliveries, including receiving, sorting, and distributing daily mail.
- Monitor, order, and maintain storage and availability of all office supplies including beverages and snacks.
- Serve as the primary point of contact for office facilities, including entering tickets and coordinating maintenance and repairs with landlord.
- Create, coordinate, manage, and adjust the BST annual calendar.
- Plan, own, and execute all firm-wide social activities, training, meals and internal and external meetings including catering, set-up and clean-up.
- Provide administrative support to executive leaders, including preparing correspondence, reports, presentations, meetings agendas, etc.
- Complete firm wide CPE coordination, entry and compliance.
- Maintain CPA license tracking and communications.
- Complete other BST related projects as necessary and assist Operations Specialists with LOB specific projects or during workload spikes
- Associates/Bachelor’s degree or equivalent practical experience
- A minimum of 3 years’ administrative support or related role
- Experience in the professional services industry a plus
- Exceptional verbal and written communication skills
- High level of accuracy and attention to detail in all aspects of work
- Strong team player with the ability to work independently and take initiative.
- Ability to thrive in a fast-paced environment and adapt to changing priorities.
- Advanced proficiency in Microsoft Office suite; Outlook, Word, Excel, Teams and PowerPoint skills
- Strong work ethic and resolute integrity
- Ability to perform with accuracy and efficiency in a fast-paced environment.
- Excellent organizational skills and the ability to prioritize and multi-task.
- Ability to establish relationships and communicate effectively across all levels of an organization.
