We are seeking a proactive, detail-oriented, Bilingual Administrative Assistant to join our team immediately in College Station, TX. Your primary mission is to maintain an efficient office environment, master our business workflow sequence, and anticipate daily needs to keep operations running smoothly. You will support general office operations, communicate with diverse clients, and work closely with the business owner of a roofing company.

  • Location: College Station TX (In-office)
  • Compensation: $15.00 - $18.00 per hour (Depending on experience)
  • Experience Required: 2 years of administrative or office support experience
  • Language Requirement: Fluent in English and Spanish (Written and Verbal)

Main Job Tasks & Responsibilities

Daily Office Operations

  • Bilingual Communication: Answer phones in English and Spanish, take detailed messages for immediate delivery, and monitor/route incoming emails.
  • Reception: Greet clients and visitors warmly in both languages, directing them to the appropriate staff member.
  • Mail & Logistics: Handle incoming/outgoing mail, coordinate messenger/courier services, and run office errands (post office, bank, etc.).
  • Office Maintenance: Maintain office filing, storage, and database systems (mailing lists, contact lists, client info).
  • Supplies & Equipment: Monitor inventory, order office supplies, and keep the office area clean and tidy.

Executive & Team Support

  • Owner Assistance: Manage and update the Owner’s daily to-do list; assist with daily task execution.
  • Workflow Tracking: Stay updated on all client statuses using our CRM system.
  • Schedule & Coordination: Organize travel arrangements, coordinate meetings, manage appointments, and assist with event planning.
  • Admin Records: Maintain staff administrative records (parking, company phones, credit cards).
  • Documentation: Type, fax, scan, and copy documents, reports, and correspondence.

Pre-Meeting Client Preparation

  • Property Reports: Order Eagleview reports for upcoming client meetings.
  • Remote Measurements: Measure starters, ridges, and ridge vents utilizing Google Earth.
  • Prospect Prep: Prepare prospective client folders and paperwork ahead of initial consultations.

Key Competencies & Requirements

  • Language: Professional fluency in both English and Spanish is strictly required.
  • Experience: 2 years in an administrative, clerical, or secretarial role.
  • Mindset: Proactive problem-solver who anticipates workflow bottlenecks.
  • Tech Skills: Proficient with CRM software, databases, and digital mapping tools (Google Earth).
  • Organization: Excellent organizational and multitasking abilities.
