Job Title: Title Clerk / Administrative Assistant
Job Summary
We are seeking a detail-oriented professional to manage our trailer title processing, coordinate with lenders and state offices, and provide essential administrative support to our sales staff. This role is responsible for processing title and registration paperwork with state agencies, coordinating with finance companies, and managing essential backend office functions, including Quickbooks Payroll.
Key Responsibilities
· Title & Registration: Process all new and used trailer titles, MSOs, and registration paperwork. Prepare, submit, and track titles, registrations and license plates through the DMV. Coordinate directly with state DMV and Tax Assessor and use systems like TX WebDealer. Verify accuracy of all deal paperwork, ensuring it meets state regulations before submission.
· Administrative Support: Answer multi-line phones, greet customers, and manage physical and electronic filing systems. Support sales team with clerical tasks, data entry, filing, copying and scanning, managing office correspondence.
· Payroll: Process employee payroll accurately and on time using QuickBooks, ensuring proper tax withholdings and record keeping
· Customer Service: Customer and dealer liaison. Resolve title issues, handle inquiries, and complete paperwork.
· Inventory Management: Maintain accurate records of trailer inventory, process new and used purchases and trades
· Finance Coordination: Track funding on all financed deals to ensure the dealership is paid promptly. Liaise with finance companies to ensure stipulations are met and funds are collected before final processing.
Qualifications
· Software Proficiency: Proficiency in Microsoft Word and Excel is required for generating reports, maintaining logs, and professional correspondence.
· Bookkeeping Bonus: Experience with QuickBooks is a major plus, particularly for payroll and basic financial record-keeping.
· Experience: 1–2 years of experience as a Title Clerk or in a dealership office preferred. Basic understanding of automotive or trailer title regulations.
· Skills: Exceptional attention to detail, strong communication skills for working with customers and lenders, and the ability to multitask.
Pay: From $20.00 per hour
