About The Role
The Customer Service team works alongside the Bruegmann Business Development team in providing exceptional service and support for our customers through daily contact with customers and are responsible for managing the customer’s expectations and experience. Along with our Business Development Representatives, the Customer Service team is directly responsible for the customer experience of working with Bruegmann. Currently our Customer Service Team structure is by roles that include Order, Purchasing, Shipping, Invoicing Coordinators. Managing customer expectations from receipt of order in our operating system NetSuite through invoice of shipment.

What You'll Do
Help to meet and exceed the customer’s expectations in the handling of outbound orders by providing continuous updates regarding status of delivery of their order through dashboards in NetSuite thorough communication and continuous maintenance of information in NetSuite.
- Managing NetSuite dashboards daily in Shipping Coordinator role
- Establishing and coordinating shipping with carriers/brokers
- Using good judgement to select the proper carriers and shipping methods to meet customer and/or location requirements and on-time delivery
- Creating & providing shipping details to the warehouse for anything picking up daily

- Reviewing packing information provided by warehouse to ensure accuracy and completeness of order fulfillment
- Responsible for distributing all shipping paperwork to shipping/warehouse associates at the end of each day for anything that might be picked up that day.
- Avoiding paperwork left in office, in case drivers arrive
- Communicating to customers, on delivery status
- Tracking order and providing the POD; delivery date and POD to be captured in NetSuite
iii. Providing final resolution
- Coordinating and preparing shipment details for the next day’s shipments
- Goal is to provide shipping/warehouse associates paperwork before shipment day, Ideally, being 3-7 days ahead for shipments.
- Coordinating with warehouse on pending pickups, in case drivers arrive early
- Verifying and recording shipment details into NetSuite
- Managing rescheduling of shipments with Carrier/broker if necessary
- Coordination with Order Coordinators on status of orders
- Managing “Open Sales Orders” dashboard to avoid past due shipments
- Communicating daily with Order Coordinators on potential late shipments, so they can move out sales orders to a more realistic ship date.
- Mark all Item Fulfillment to the “Shipped” status for any shipments that were picked up that day
- If picked up after hours, the status must be progressed first thing the following day.
- Gather/Enter shipping charges to the Item Fulfillment in NetSuite for anything that shipped each day before day closes
- Shipping costs invoiced would be calculated from shipping quote, plus Bruegmann 17%
- Supporting Accounting on debits on invoices due to delivery or qty issues
- Accountability on the status of shipments for current day and week
- Order Status updates to Business Development Rep
- Daily collaboration in ensuring customer’ requirements are met
- Communicating on any shipments that were planned and delayed
- Attending video teams calls with sales team on special programs or requests
- Coordination on shipments of samples
- Understanding priorities to meet customer expectations
- Working with Order Coordinators in establishing customer specific shipping requirements and the overall support of Account
- Creating customer specific shipment processes and saving to Customer Service Teams channel customer card in NetSuite and updating process documentation notes.
- Learning and updating customer portal requirements as they relate to shipping
- Updating customer carrier account numbers in NetSuite
- Proactively offering solutions to improve processes
