As we continue to grow, we are seeking a detail-oriented and organizedConstruction Administrative Specialist to join our team, with aprimary focus on timekeeping. The ideal candidate will be responsible for ensuring accurate tracking of labor hours across projects, maintaining employee time records, and supporting the construction team with various administrative tasks. This role is vital to helping the project management team stay on schedule and within budget in our Fresno operations and will embody these values through effective people strategies.
Primary Duty Timekeeping & Labor Tracking (60%)
- Monitor, collect, and verify daily timecards from field employees.
- Enter and maintain accurate employee time records in timekeeping systems (e.g., HCSS/MyField, ExakTime).
- Collaborate daily with foremen and project managers to resolve discrepancies in time reporting.
- Prepare and distribute weekly labor hour reports for internal project tracking.
- Support the Human Resources department by providing timekeeping data as needed.
- Ensure compliance with company policies and relevant labor laws regarding timekeeping practices.
General Administrative Support (40%)
- Assist project managers with document control and recordkeeping tasks.
- Maintain organized filing systems for contracts, submittals, and job site documentation.
- Schedule meetings, prepare agendas, and take meeting minutes when required.
- Support procurement processes including tracking, purchase order reconciliation, and invoice matching.
- Coordinate communication between field and office teams to ensure smooth operations.
- Liaise with the safety department regarding incident reports and to ensure worker certifications are current and compliant.
Other Duties as Assigned
- Perform additional administrative or project-related tasks as needed to support construction operations, office coordination, or compliance requirements.
- Flexibly adapt to shifting priorities and support special initiatives or cross-functional teams when requested by supervisors or senior management.
Experience, Competencies & Skills:
- High school diploma or equivalent required.
- Some college coursework or experience in business administration, construction management, or a related field is preferred but not required.
- An associate or bachelors degree is a plus and may offer growth opportunities within the company.
- Familiarity with construction timekeeping systems (HCSS/Myfield and ExacK Time).
- Proficient in Microsoft Office Suite (especially Excel and Outlook).
- Strong organizational skills with a keen eye for detail.
- Excellent communication and interpersonal skills.
- Ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Bilingual (English/Spanish) a plus.
- Knowledge of prevailing wage reporting and certified payroll
- Valid Class C California Drivers License required.
- Must have a clean driving record and ability to travel to job sites as needed
Physical Demands (if applicable):
- Work is conducted both in office and in field environments with exposure to extreme outdoor conditions, including heat, cold, dust, fumes, vibration, and loud noise.
- Must be able to walk on uneven terrain, climb, and lift/move up to 50 pounds.
- Regularly required to talk, hear, stand, kneel, crouch, or crawl.
- Subject to pre-employment drug screening and physical agility testing.
