Primary Objective:
The Rehearsal and Facilities Manager is responsible for overseeing the day-to-day operations of rehearsal spaces and associated facilities and for completing the full life cycle of each rehearsal from start to finish. This role ensures all rehearsal activities run smoothly, safely, and efficiently, while also maintaining the condition, scheduling, and functionality of all related spaces and equipment.
Essential Roles and Responsibilities: Rehearsal Management:
- Thoroughly identify and understand all guest requirements, including staffing, equipment, hospitality, logistics, and special accommodations, etc. in order to collaborate effectively and develop a seamless, actionable plan for smooth execution.
- Coordinate rehearsal schedules and requirements with BNP Production and Operations Management.
- Lead and manage production calls for all rehearsals, ensuring goals and deadlines are consistently set, tracked, and met throughout the process.
- Monitor and follow up on the status of assigned responsibilities and deliverables to maintain workflow continuity.
- Work with staffing agencies and company team to fully staff load in/load outs.
- Act as lead for crew call and schedule coordination of stagehands and techs.
- Ensure rehearsal spaces are properly prepared and equipped for each event.
- Act as the primary point of contact for rehearsal-related inquiries, including direct interaction with guests.
- Support the smooth operation of rehearsals by addressing logistical needs (e.g., furniture, props, sound systems).
- Oversee and assist with hospitality needs like catering, dietary needs, online and in shop ordering, and special requests.
Facilities Management:
- Oversee the maintenance, safety, and cleanliness of rehearsal areas, green rooms, production offices, guest breakrooms, and associated facilities.
- Schedule and supervise routine maintenance, repairs, and cleaning.
- Liaise with building management or external contractors as needed for facility-related services.
- Ensure compliance with health, safety, and fire regulations.
Administrative & Operational:
- Manage systems for rehearsal and meeting spaces reservations and confirmations.
- Monitor and distribute rehearsal timelines and communicate reports and updates as needed.
- Develop and implement facility-related policies and procedures.
- Support the onboarding of new artists or staff with orientation to the rehearsal spaces.
- Assist with the production management of non-rehearsal related events, from paperwork to staffing and coordinating assistance.
- Other duties as assigned.
Qualifications and Experience:
- Bachelor's degree in Hospitality, Event Management, Facilities Management, Communications, or a related field (commensurate experience will be considered)
- Proven experience (3–5 years) in rehearsal or facilities management within the music, live events, or entertainment industry including scheduling, maintenance, equipment inventory, and vendor relationships.
- Must possess technical aptitude in entertainment power, AV systems, and heavy machinery.
- Experience in Microsoft Office & Google Suites is required.
- Strong understanding of music rehearsal workflows, operations, and technical requirements (e.g., PA systems, backline, lighting).
- Strong organizational and problem-solving skills.
- Excellent communication and interpersonal abilities.
- Ability to manage multiple priorities in a fast-paced environment.
- Flexibility to work evenings and weekends during events.
Job Type: Full-time
Pay: $70,000.00 - $80,000.00 per year
