SUMMARY:

Under the Supervision of the Practice Manager


Provide daily direction and communication to employees so that external customers (i.e., patients, vendors, visitors) are treated in a timely, efficient, and effective manner. Provide continual evaluation of processes and procedures. Responsible for suggesting methods to improve facility operations, efficiency and service to both internal (all other staff) and external customers.


KEY RESPONSIBILITIES:


Interface with physicians, nurse practitioners, and other managers to ensure smooth coordination of scheduling and maximization of schedule adherence; provide input on local conditions, identify needs and receives direction on real-time staffing increases or decreases. Approve schedules and work with other managers to communicate and fill schedules and handle exceptions.


Overseeing Clinical Operations and Staff:


  • Supervising and guiding clinical staff: Providing direction, support, and mentorship to clinicians, ensuring they deliver high-quality patient care.
  • Monitoring and evaluating performance: Regularly assessing staff performance, providing feedback, and facilitating professional growth and development.
  • Managing caseloads and scheduling: Coordinating staff assignments to ensure adequate coverage and timely patient access to services.
  • Recruiting and onboarding new staff: Participating in the hiring process, including interviewing and training new clinical staff.
  • Conducting clinical assessments and research: Analyzing data, identifying areas for improvement, and participating in research to enhance clinical practices.
  • Handling clinical issues and complaints: Addressing escalated clinical issues and ensuring timely resolution of patient or client concerns.
  • Ensuring accurate documentation and record-keeping: Maintaining thorough and accurate records of clinical activities and ensuring compliance with documentation standards.
  • Providing clinical supervision and mentorship: Offering guidance, support, and consultation on challenging cases and clinical techniques.
  • Facilitating communication and collaboration: Encouraging open communication and teamwork among staff and with other departments.
  • Managing clinic operations: Overseeing day-to-day administrative tasks, including resource management, patient flow, and supply ordering.


CORE RESPONSIBILITIES:

  • Oversight and Supervision: Providing guidance and direction to clinical staff, ensuring adherence to regulations and standards of care.
  • Mentorship and Professional Development: Guiding less experienced clinicians, providing constructive feedback, and promoting continuous learning.
  • Quality Assurance: Evaluating program effectiveness, ensuring accurate documentation, and implementing initiatives to enhance patient care.
  • Team Leadership: Managing daily operations, coordinating staff assignments, resolving issues, and fostering a collaborative work environment.
  • Ethical and Legal Compliance: Ensuring staff adhere to ethical and legal guidelines in clinical practice.
  • Establish clinical and administrative work procedures and processes that support organizational standards, procedures, and strategic directives.
  • Provide performance feedback and coaching on a regular basis to each employee. Write and administer performance reviews for skill improvement.
  • Be available for employees that experience work problems providing appropriate coaching, counseling, direction and resolution.
  • Ensure employees have appropriate training and other resources to perform their jobs and develop additional skills. Respond to and resolve employee relations issues expressed by staff. Create and maintain a favorable working relationship with peer supervisors, other employees to foster and promote a cooperative and harmonious working climate conducive to maximize employee morale, productivity, and efficiency / effectiveness.
  • Address disciplinary and/or performance problems according to company policy. In conjunction with Human Resources, prepare disciplinary actions and communicate effectively with employees on such actions and make effective/appropriate decisions relative to corrective action as required.
  • Keep Practice Manager promptly and fully informed of all problems or unusual matters of significance and take prompt corrective action where necessary or suggest alternative courses of action that may be taken.
  • Project a favorable image of the organization to promote its aims and objectives and enhance public recognition and acceptance of all its areas of endeavor. Be a positive role model to direct and indirect reporting staff.


REQUIRED QUALIFICATIONS:

  • Minimum 3 years previous medical practice experience, 1 year in a lead, educator, or supervisor capacity
  • Experience supervising, coaching and developing staff.
  • Proven leadership experience: ability to develop and motivate a team; working knowledge of healthcare industry.
  • Experience in a customer focused organization.


EDUCATION:

RN, LPN, or MA degree/license/certification and/or equivalent medical operations management experience.

Pay Range:

$49,528.75-$81,703.44
