The Zoo Volunteer and Membership Coordinator is responsible for daily management of the zoo’s membership program, and for the direction and coordination of zoo volunteers to strengthen public and private programs and involve a community of supporters as described in the duties outlined below. Coordinator is responsible for membership strategies, sales, and retention, along with volunteer recruitment, training, and evaluation under the direction of the Education & Volunteer Programs Manager. The Coordinator will contribute to positive guest experiences and work with zoo teams on planning and implementing projects and special events, serve as a liaison between volunteers and staff, and perform other duties as required.Assist with recruiting, training, and evaluating volunteers for zoo events and daily operations.
Manage online volunteer sign-up sheets and create/update training materials as needed.
Maintain volunteer department policies, procedures, and records to comply with Association of Zoos & Aquariums (AZA) accreditation standards.
Perform background checks and interviews, process all paperwork and records related to volunteer recruitment and retention.
Assist with recruitment and coordination of zoo internship programs and related documentation and records.
Conduct volunteer orientations and trainings.
Maintain accurate and up-to-date listings and records of volunteer services and programs; oversee and maintain zoo volunteer database.
Serve as a liaison between volunteers and zoo staff members.
Utilize social media, face-to-face communication, telephone, and email to maintain communication with volunteers.
Represent Zoo at off-site volunteer recruitment and engagement opportunities throughout Northeastern Wisconsin, including but not limited to Volunteer and Internship Fairs.
Serve as Zoo representative for the Wisconsin Volunteer Coordinators Association (WVCA) and the Bay Area Managers of Volunteer Services (BAMVS) organizations.
Ensure there is appropriate support for volunteers in their roles throughout the zoo.
In collaboration with Education & Volunteer Programs Manager, coordinate volunteer meetings and projects, facilitate corporate group volunteer projects, and ensure appropriate volunteer coverage is maintained for zoo daily operations, events, and event preparations.
Edit and publish Zoo Volunteer monthly and annual reports; prepare press releases and/or social media marketing materials focusing on volunteer-driven activities and events.
Create and execute annual membership and communications plan with key objectives, performance indicators, goals for member retention and growth, and a calendar timeline of activities.
Participate as needed in the daily processing of membership purchases and renewals to ensure accuracy and timeliness; handle all back-office communication with members and create professional communications for members for various channels including mail, email, and social media.
Maintain accurate and up-to-date membership database and records.
Collaborate with marketing and administrative team on overall branding, messaging, and social media strategy for volunteer and membership programs; cross-promote memberships to volunteers and volunteering to members.
Maintain on-site calendar and reservation system for schools and other groups visits in collaboration with Education Department team.
Assist schools and other groups with zoo entry, check-in, and exiting on field trip and other group visit event days; process group deposits, payments, and refunds as needed using zoo point of sales system.
Provide customer service and assistance to zoo guests, members, and volunteers.
NON-ESSENTIAL DUTIES:
Performs related functions as assigned.Two-year degree in business and management studies, human resource management, social work, youth and community work, or other related field.
One year of related experience working in a volunteer program preferred.
Knowledge of volunteer management principles and evaluation techniques; or any equivalent combination of education, training, and experience which provides the necessary knowledge, skills, and abilities.
Licenses and Certifications:
Valid Wisconsin Driver's License and access to transportation adequate to fulfill position responsibilities.Knowledge and experience in volunteer management.
Knowledge of membership programs and best practices, key performance indicators, and related tools to measure growth.
Knowledge of and ability to utilize a computer and the required software and hardware; knowledge of Microsoft Office software.
Ability to establish and maintain effective working relationships with volunteers, zoo staff, zoo members, members of the public, and zoo visitors/customers.
Ability to communicate effectively both orally and in writing.
Ability to work cohesively in a team environment.
Ability to work both indoors and outdoors, with exposure to extreme temperatures and inclement weather conditions.
Ability to serve in every respect and at all times as a goodwill ambassador for the NEW Zoo & Adventure Park in contacts with zoo visitors, volunteers, and the general public.
Ability to work a flexible schedule as needed for special events, programs, and other activities on evenings and/or weekends.
