Job Profile Summary This position is responsible for managing and maintaining the College's fixed assets including, but not limited to maintaining computerized fixed asset records and overseeing the annual physical inventory. Coordinates the implementation of sustainable initiatives, special events, and miscellaneous projects on campus. Serves as an administrative liaison with internal departments and outside agencies as required. Serves back-up role in managing the space allocation function on campus and/or centers. Minimum Education: Bachelor's Degree required. An equivalent combination of experience and education may be considered. Minimum Experience/Training: Four or more years of fixed asset inventory, business office, and operations in public or private sector environment. Essential Functions: Daily - 25%: Assists the Business Dean, District Finance department and Manager of Campus Facilities in monitoring, controlling, tracking, disposing, and inventorying the Fixed Asset Inventory equipment on the Campus and satellite centers. Maintains proper records in compliance with all state statutes and laws, system rules, and college policies and procedures. Weekly - 10%: Utilizes scanners to upload data, organizes inventory preparation and reviews the College’s approved asset software system to ensure accuracy of inventory. Ensures campus-wide audits are conducted. Weekly - 10%: Assists departments in gathering data to label/asset all equipment over $1,000 for the campus and enter into the asset software system. Works with departments to reconcile scanned items. Assists Campus Facilities special projects staff with campus door inventory labeling and management. Quarterly - 20%: Prepares monthly and annual reconciliations and reports of the Campus Fixed Asset Inventory for the Business Dean. Assists departments in the preparation of necessary documentation and provides inventory reports. Daily - 25%: Serves as administrative liaison for complex administrative assignments and special projects within the Campus and across other college departments and campuses and performing related duties as assigned (i.e. capital equipment inventory process, political rallies, recycling programs, locksmith efforts.) Other, as needed - 5%: In absence of Campus Classroom and Event Scheduler, coordinates the scheduling of room assignments in coordination with Staff and Administrators and acts as central point of contact with external constituencies in the provision for room scheduling and facility rental. Other, as needed - 5%: Performs related work as assigned. Knowledge, Skills and Abilities: Knowledge and skill in fixed asset management inventory and the ability to lead the physical inventory for the campus.
